Job Introduction

As an FMAdministration Supportat Sodexo in The Silver Fin Building, 455 Union Street, Aberdeen, AB11 6DB, You will be very well organised, have outstanding communication skills, and have the ability to work in a challenging environment. Your purpose is to control the general day-to-day administration of the office including processing invoices, raising purchase orders, processing payroll and general filing & archiving of documents required for audit purposes. What you’ll do:

To control the smooth running of the office, as directed by the Site Lead. Such activities include, but are not restricted to:

  • Processing electronic & paper invoices.
  • Raising & goods receipting purchase orders.
  • Maintaining Shell work orders, inputting history, running weekly frozen plan & month end reports.
  • Maintaining & processing payroll.
  • Filing & archiving of Food Safety sheets in compliance with HACCP.
  • Processing restaurant card payments, updating till maps & maintaining users.
  • Assisting Site Lead with month end reports.
  • Order & maintain stationery.
  • Purchase & supply of PPE
  • Purchase & supply of ad hoc items requested by the staff & authorised by the Site Lead
  • Focal point for printer failures & paper supply
  • Maintaining organisation chart.
  • Carry out any reasonable request from the Management Team
  • Liaise with all departments within the Site.

Accountabilities:

  • To always work within the guidelines of the Shell Life Saving Rules & showing respect & consideration for all colleagues
  • Report any Hazards, Near Misses, Incidents, or dangerous occurrences through Line management openly and promptly.
  • Ensure all areas within scope are maintained to agreed standard.

What you bring:

  • Exhibits characteristics of Service Spirit, Team Spirit, and Spirit of Progress
  • Good interpersonal skills enabling good relations with customers, Clients, and colleagues.
  • Willingness to receive, understand and implement Sodexo and Client training.
  • Ability to work as a team player.
  • Ability to organise oneself and prioritise tasks and work alone
  • Experience in office administration activities
  • Knowledge of Microsoft Office applications
  • Knowledge of SAP would be advantageous but not essential as training will be given
