French Speaking Personal Assistant

Your new company:
You will be joining a leading executive search firm made up of 6 Partners and 12 employees in total, split between two offices in Paris and London. A preferred partner for large international groups, family businesses, or investment funds, handling the recruitment of their executives and non-executives both in France and internationally.
The role:
As a fundamental element of the organisation and support, the Personal Assistant will be responsible for the smooth daily operation of the London office and the successful execution of tasks. Working closely with both the Paris and London teams, with the opportunity to work with multiple Partners/Consultants simultaneously
The primary tasks will revolve around two areas:
- Mission Monitoring
- Organisation and scheduling of appointments with clients and prospects
- Preparation of contracts and marketing documents for BD
- Monitoring calendars (launch & closure meetings, weekly team points, etc.)
- Data entry for missions and daily tracking of research progress
- Organisation of candidate presentation appointments
- Tracking candidate files
- Managing spontaneous applications
- Responsible for the database, relationship with the provider, updates & maintenance, and with our external data manager.
- Managing complex schedules
- Appointment scheduling and confirmation (up to 8 to 10 per day)
- Organising candidate travel
- Assisting in any activities that streamline operations and client service
- Office Management
- Physical and telephone reception greeting and assisting clients, candidates, daily service providers, supporting the Operations Manager
- Handling consultants' expense reports in London
- Organising daily life in the London office: supplies, meal orders, etc.
- Relationship with external providers: couriers, IT services, etc
- Liaising with and supporting the Paris office
In collaboration with the communication agency:
- Managing the LinkedIn page and producing posts
- Linking with the Marketing team for joint actions
- Sending regular newsletters to clients and prospects
- Updating the website
In addition to these recurring tasks, there will be occasional ad-hoc assignments:
- Database evolution and streamlining processes
- Organising events
- Covering the Office Manager during their absence, particularly the founders schedule
The Ideal candidate :
- Minimum of Bachelor's degree (Bac+3) Fluent In English and French, both spoken and written At least 5 years of executive assistant experience in Professional Services, managing complex databases, in an international, fast-paced, and demanding environment.
- Versatile and good at multi-tasking
- Able to prioritise tasks and effectively time management
- Confident IT abilities
- Good communication skills and a keen team spirit
- Organised and precise, service-oriented, dynamic, and committed, resilient and tenacious
- A person who will be happy to work in a demanding environment but with people who will seek to help them progress
