Primary Responsibilities:
The Operator will manage daily operations across various business desks, focusing mainly on truck rack operations in EAF. Key responsibilities include logistics, cost control, record-keeping, contract administration, accurate volume tracking in the trading system, truck rack management, and risk mitigation.
- Execute and manage trades according to contracts.
- Update the Delivery Notes from terminals into the Nomination Book.
- Save all Delivery Notes in shared drive folders for audit control.
- Inform Senior Operations and the Settlements Team of completed truck liftings to finalise volumes and payments.
- Ensure receipt of Daily Stock Reports from local Agents, including BL splits.
- Maintain the lifting schedule and actualised truck volumes, including Truck ID, BL number, metered volume loaded, and Title Transfer Date in the EAF Book.
- Advise traders on potential issues and develop logistical solutions to optimise deal execution within deal limits, focusing on cost minimisation and margin maximisation.
- Manage the safe, compliant, and efficient movement of products via various modes of transportation, where applicable.
- Communicate effectively with terminal personnel to ensure efficient load and discharge orders.
- Maintain daily communication (written and verbal) with customers, suppliers, and truck owners/operators to ensure timely and contractual order fulfilment.
- Oversee inventory management, including daily stock monitoring, scheduling, quality and quantity review, sampling, and blending operations, ensuring compliance with contractual terms and maximising profitability.
- Request Releases/LCs or Prepayments through the Finance Department.
- Review and approve all operational-related invoices.
- Collaborate closely with the Accounting Department to ensure accurate deal entry in the Allegro system.
- Provide timely and accurate inventory position information to traders.
- Ensure all cargoes comply with the relevant incoterms per deal.
- Nominate cargo inspectors, carriers, and loss control where applicable.
- Inform clients of all cargo details (ETAs, load volume) and provide necessary documents (BLs, COOs, COAs, etc.).
- Maintain accurate records of operational deal movements to ensure regulatory compliance.
- Be open to cross-training on the vessel operations desk and provide ad-hoc support to the Senior Operations Team as needed.
- Coordinate logistics, financing, and inventory control of all product shipments with other offices.
- Attend industry events to develop strategic business relationships with external counterparts.
- Perform additional ad-hoc reporting or duties as assigned.
Job Skills & Qualifications:
- Bachelor’s Degree required, preferably in Finance, Mathematics, Accounting, Economics, Business Administration, or other energy-related fields.
- 2-5 years of experience preferred in a similar trading environment role. The candidate should be knowledgeable of the traffic support responsibilities required for truck rack operations, with the intent to gain additional Operations and Logistics experience.
- Proficiency with data management and reporting in ETRMs.
- Comprehensive understanding of trading models and trading strategies and exposures that arise out of them.
- Must have excellent communication and interpersonal skills to interface with all levels of management.
- Ability to work independently and without supervision, ensuring deadlines are strictly adhered to.
- Energetic, responsive team player with the interest to take initiative and work in a fast-paced environment.
- High level of confidentiality and professionalism.
- Strong organisational skills, attention to detail and ability to demonstrate problem-solving skills.
- Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, and Teams).
- Advanced Excel skills.
- Ability to work flexible hours when needed as this role requires early morning starts and Saturday customer support for any weekend loadings.
