The HR Administrator will provide first line HR support and administration to line managers and employees within the framework of policy, procedure and legislation. The HR Administrator will promote the values of the Wensum Trust in the delivery of HR services.
The HR Administrator will work in collaboration with teams within the Central Services Office as well as staff across all Trust schools.
Key Areas of Responsibility:
Recruitment and Onboarding
- Advertise vacancies on various platforms
- Support the interview panel when they hold interviews
- Provide support with safer recruitment practices
- Make pre-employment health check referrals
- Process DBS checks for new starters
- Process prohibition and Section 128 checks where relevant
- Complete Right to Work Checks
- Enable access rights to all systems for new staff
- Generate access cards for new staff
- Support schools throughout the Trust with the induction of new staff
- Work with schools to ensure effective induction processes are in place for new staff
Safeguarding and record keeping
- Monitor entries into the Single Central Record (SCR), ensuring compliance with safeguarding, KCSIE 2023, and statutory and local requirements
- Undertake SCR and compliance audits on employee documentation and files and provide feedback and advice where necessary
- Update and maintain the HR system with new starters, leavers and contract changes ensuring accuracy of information at all times
- Ensure compliance with creation and maintenance of personnel folders
- Keep records in accordance with the Trusts record retention schedule and data protection law, ensuring information security and confidentiality at all times
- Monitor that all stakeholders complete and remain up to date with safeguarding training in a timely way
- Respect confidential issues associated with all aspects of work
- Keep up to date with the Trust’s procedures for safeguarding and child protection, reporting any concerns to a senior designated person.
Contractual Documentation
- Generate letters of appointment and contracts of employment
- Generate letters confirming changes to contracts
- Generate salary assessment forms
- Generate letters acknowledging resignations
- Schedule exit interviews
Employee Relations
- Liaise with payroll and other departments regarding, new starters, leavers and contractual changes
- Communicate effectively with the HR Manager, HR Officer and the wider team
- Support in employee relations meetings in the capacity as note taker
- Oversee absence alerts ensuring absence management policy is adhered to, escalating where needed
- Upload fit notes to personnel files where needed
- Analyse absence data with support from HR team
- Process maternity, paternity and shared leave applications
- Liaise with line managers with regards to flexible working requests
- Investigate payroll queries for staff, liaising closely with the payroll manager
Training
- Ensure compliance of statutory training obligations such as Health and Safety and Safeguarding
- Schedule Mental Health First Aid training
Other
- Create process maps and protocols for new tasks as required
- Work with the HR team to administer HR policies and procedures to all schools
- Contribute to the development and improvement of office practices
- Research and book venues for functions as required
- Involvement in adhoc HR projects under the direction of the HR Manager
