The Role – HR Assistant:
As part of our business growth plans and continuous improvement, we are looking to recruit a HR Assistant with generalist HR background and HRIS systems experience to deliver an exceptional service to employees. You’ll be supporting our HR Business Partner and HR Advisor as well as advising line managers on employee matters, including offers, inductions, benefits and reward, training co-ordination and day to day HR enquiries. The role will be based at our Head Office in Kings Hill, Kent, on a hybrid basis if preferred and ideally 2/3 days per week office based.
Who we’re looking for:
Our ideal candidate will hold a CIPD level 3 or above qualification or be near to completion.
You’ll have relevant and practical HR experience, ideally gained within the insurance or loss adjusting sector. Experience of HRIS systems and a good understanding of employment law is essential within this rewarding role. You’ll also be able to demonstrate a track record of delivering results and supporting employees within a HR remit.

Responsibilities – HR Assistant:
- Provide practical assistance to employees to make on-boarding smooth and seamless.
- Issue employment offer letters and contracts for employees within designated business stream.
- Arrange all other onboarding activities including vetting, company car and PPE (as appropriate)
- Send and collate feedback from new joiner / onboarding questionnaires, summarising the information for the relevant HPBP or Advisor.
- Organise and manage digital employee records, including current employee updates, new starters and leavers, on the relevant data bases (Cascade / DevZone)
- Manage induction plans for new starters with the relevant line managers.
- Monitor employee probation reviews, reminding line managers / HRBPs as appropriate and sending confirmation of outcome to employees.
- Carry out HR inductions as required.
- Assisting our HR Advisor / HR BP with admin tasks relating to employee relation issues.
- Basic note taking for employee disciplinaries and investigations.
- Manage the HR inbox, responding promptly to simple enquiries and redirecting more complex or urgent requests to the most appropriate team member.
- Coordinate with the HR Administrator and contribute to the preparation of the monthly payroll spreadsheet for validation with the Director of HR.
- Collate bonus payments information for employees within designated business stream and send confirmation to employees.
- Manage annual employee checks including Annual declaration, conflicts of interest and DBS renewals.
- Support Recruitment Activity, when required.
- Collate ‘Shout Out’ recognition awards on a monthly basis, communicating outcomes to the business, to those nominated and administering awards to winners, keeping relevant records.
- Process employee reference requests for employees within designated business stream.
- Update CILA membership list.
- Support the HR Administrator with coordinating training logistics as required.
- Organise all work experience placements and relevant early career inductions.
- Support the HR team with HR related meetings.
- Uphold Woodgate & Clark Limited Code of Business Conduct at all times.
Person Specification – HR Assistant:
- CIPD level 3 qualified, or an equivalent qualification.
- Previous experience of working within a HR Team.
- Experience of HR systems ideally at superuser level.
- Payroll and benefits experience.
- Basic employment law knowledge.
- Working with Trust and Discretion at all times.
- Customer and Quality focused – providing a best-in-class service to both internal and external customers.
- Proactive – responding to workloads as dictated by business needs.
- Compliance – making sure KPI’s and SLA’s are met.
- Manage and respond to complaints and compliments.
- Good presentation skills.
- Good problem-solving and interpersonal skills.
- Excellent customer service & planning skills.
- Strong time management and organisational skills.
