  • Specifically, you will be accountable and responsible for taking appropriate action with respect to the Company’s and MUFG Bank Ltd, Human Resources, HR Shared Services Department, including:
  • Responsible and accountable for providing Tier 1 level support to all employees/stakeholders at all levels within MUFG, manage all escalation points for complex queries and maintaining a client centric approach to support effective client outcomes.
  • Responsible and accountable for creating, assigning, escalating and resolving cases in accordance with standard operating procedures, policies and service level agreements whilst building trusted relationships to effectively collaborate and resolve issues.
  • Responsible and accountable for managing ER cases as the main point of contact, providing guidance on Employee Relations matters including, but not limited to, Probation Extensions Terminations, Performance Improvement in line with the Capability Policy, Long Term Absence and Flexible Working requests, establishing a trusted relationship with employees and line managers to help resolve issues through guidance and facilitating relevant meetings.
  • Responsible and accountable for being the main point of contact to guide line managers on the Probation process, including extensions and terminations. Establishing a trusted relationship to resolve issues (as defined in the ER matrix) and being the HR representative in the meetings required.
  • Responsible for supporting with the completion of HR internal audits (not limited to HR Shared Services) and liaison with HR Shared Services Manager for sign-off (or COE Lead if outside of HR Shared Services). Escalating any issues in a timely manner.
  • Responsible for suggesting, designing and implementing process improvements and efficiencies for the HR Shared Services team to improve historical working practices and design creative solutions that contribute to departmental objectives in support of the MUFG vision.
  • Act as an 'Account Manager' for the HR Advisory Function leading and providing support for ER items as per the ER matrix and Inter-Department Agreement. Including but not limited to disciplinaries, grievances, employment advice, divisional restructures and employee lifecycle queries.
  • Overseeing and partnering with Shared Services Manager on allocation of resources within the HR Shared Services team on key processes supporting the HR Advisory team.
  • Responsible for the document management processes within HR Services, ensuring that all required documentation is filed/scanned accordingly to employee personnel records and archiving.
  • Overseeing additional duties as required to support the HR Shared Services team in various HR projects, providing HR Shared Service input to business requirements and operational readiness identifying opportunities to improve working practices
  • Responsible for coaching managers and employees to use Tier 0 tools where available, and educate on Workday processes and user guides.
  • Responsible for leading, advising and coaching HR Shared Services Advisors and Administrators on employee matters.
  • Responsible for partnering with ER manager to keep up to date with changes in the employment environment and updating the team accordingly.
  • Responsible and accountable for maintaining process documents and guidelines to include any changes to processes that are owned outside of HR Shared Services but are processed within the team. Ensuring any changes are documented, communicated and adhered to whilst maintaining a central repository for all HR process that involve HR Shared Services.
  • Responsible for supporting the HR Shared Services Manager to lead the HR Shared Services team and ensuring workloads and priorities are managed appropriately across the team.
  • Accountable for the investigation and resolution of complex customer escalations/complaints and urgent exceptions from within aligned business area or junior members of the HR Shared Services team.
  • Responsible for advising line managers on policy and procedure escalating where appropriate to the HR Shared Services Senior Advisors.
  • Responsible for ensuring all services delivered are done so in accordance with agreed policies and procedures and contribute towards delivering a high level of client service.
  • Responsible for managing queries and process actions as defined in the relevant Inter-Department Agreement with each HR Centre of Excellence including but not limited to Benefits, HR Advisory, Learning and Development, Organisational Development and Performance.
  • Accountable for being an ambassador for the 'One MUFG' vision and bringing it to life in HR.
  • Accountable for being the Business Continuity Champion for HR, supporting by HR Shared Services Advisor for day to day maintenance ensuring documentation and ongoing business continuity plans are accurate and updated regularly in line with requirements.
  • Responsible for keeping up to date with legislation and regulatory changes, maintaining continual professional development.
  • Responsible for producing accurate ER casework documentation; update and maintain accurate records
  • Manage end to end HR employee lifecycle processes including all leave of absence cases including but not limited to maternity leave, paternity leave, adoption leave, shared parental leave, ordinary parental leave, jury service, sabbatical leave, time off to care for dependents, compassionate leave, study leave.
  • Responsible for data entry and data maintenance in Workday or other business systems, completing payroll instructions (in consultation with clients where required), and other employee correspondence. In relation to managing employee lifecycle processes including but not limited to Internal Transfers, International Transfers, Acting Up, Secondments, Entity to Entity Transfers, Fixed to Permanent Transfers, and Fixed Term Contract Extensions, Salary Increases, Promotions and Off-cycle Promotions.
  • Responsible for processing all Standard, Non-Standard and Sensitive Leavers including the production of Redundancy and Mutual Agreement Paperwork and owning the end-to-end process on Workday and payroll packs,
  • Overseeing and managing any overpayments made to employees by liaising with the HR Advisory and Payroll Team, as well as the wider business.
  • Responsible for maintaining Workday records and process Tier 1 cases including but not limited to, holiday queries, performance reviews, HR policy queries, family leave, job description, Workday probation process, long-service award, supervisory organisation creation and changes, business request changes, legal name changes and any other ad-hoc queries.
  • Responsible and accountable for ensuring invoices and P-Card payments for Settlement Agreements and From Babies with Love are processed timely and accurately.
  • Overseeing and running quarterly block leave reports for all business areas to ensure each business area is being compliant.

WORK EXPERIENCE

  • Worked within a HR Operations/Shared Services environment


Preferred:

  • Worked within an administration services team previously

Functional / Technical Competencies:

  • Overseeing how current legislation impacts employment practices
  • Responsible for communicating effectively, informatively and with sensitivity, with a wide range of employees to maintain confidentiality and inspire trust.
  • Accountable for a high level of literacy and numeracy skills, sufficient to undertake complex letter writing and reports, statistical analysis of performance data and complex calculations.
  • Accountable for a Results driven approach, with a strong sense of accountability whilst comfortable making strong decisions demonstrating the ability of having sound judgement.
  • Responsible for a proactive and motivated approach.
  • Accountable for managing conflicting priorities and re-prioritise work accordingly.
  • Accountable for a structured and logical approach to work whilst considering innovation.
  • Accountable for managing large workloads and tight deadlines and maintaining a calm approach, with the ability to perform well in a pressurised environment.
  • Accountable for proven experience working with Workday.
