Job description

As a Junior Administrator, you are an integral part of the admin and secretarial team, responsible for supporting various administrative functions within an organisation. Your role entails assisting senior administrators and managers in daily tasks, ensuring smooth operations across different departments and being based out of Eastleigh.

Our client is a dynamic business established in 2013 to deliver first class marine and aviation services. Today they have an amazing team of nearly fifty individuals split between our offices.

Description

The main responsibilities for the Junior Administrator role are:

  1. Office Support: Provide general administrative support such as answering phones, managing emails, and handling correspondence. You'll be responsible for maintaining office supplies, organising files, and ensuring the office environment is tidy and efficient.

  2. Data Entry and Record Keeping: Accurate data entry and record-keeping are essential aspects of your role. You'll input information into databases, spreadsheets, and other digital systems. Maintaining organised records is crucial for easy retrieval and analysis.

  3. Scheduling and Coordination: Assist in scheduling appointments, meetings, and travel arrangements for senior staff members. You may also help coordinate events, conferences, and training sessions, ensuring all logistical aspects are well-managed.

  4. Documentation and Reporting: Prepare documents, reports, and presentations as required. This may involve gathering data, formatting documents, and proofreading for accuracy. Your attention to detail is vital in ensuring the quality and professionalism of all materials produced.

  5. Customer Service: Act as a point of contact for internal and external stakeholders, providing assistance and resolving inquiries in a professional and timely manner. Excellent communication skills, both written and verbal, are essential for effective interactions.

  6. Ad Hoc Tasks: Undertake various ad hoc tasks and projects as assigned by senior management. This may involve conducting research, assisting with special initiatives, or supporting other departments as needed.

Profile

The successful candidate for the Junior Administrator role is someone who:

  • Proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with database management systems.
