Job description

We are recruiting for a Bank Junior Paralegal who wishes to join #TeamIOWNHS.
This post involves providing support, both administrative and clerical to the Legal Services Team
To work as a member of the team providing assistance to claim handlers in respect of clinical negligence, public liability and employer’s liability. In addition, the postholder will be integral in preparing the Trust in anticipation of coronial investigations (inquests). You will be responsible for the effective management and efficient working of non-clinical aspects of the Service in accordance with all Trust policies and procedures.

The post holder will have a key role in supporting the operation of the Legal Services Department. They will be dealing with telephone enquiries, photocopying as requested, and ensuring that requests for medical records are dealt with appropriately. Set and maintain a high standard in all aspects of administrative work ensuring good communications systems within the Service and across all departments, ensuring strict confidentiality at all times.
The post holder must be methodical and able to work under pressure and to timescales set down by legal protocols. They will be required to work under own initiative, have good interpersonal skills and to liaise with both staff within the Trust and external organisations. The post holder will work with a high level of independence in their work. They will resolve and respond to incoming communication, seeking advice where necessary and will be expected to use high levels of independent judgement and responsibility.
The role will require the individual to work within a small team and to use their own initiative to ensure that their designated work is complete within time schedules. The post holder will proactively manage calls and correspondence, whilst maintaining the priorities of the service and ensuring that all deadlines are met.
Assist with the administrative aspects of inquests and claims, to include initiating the file opening process when a new matter is received, obtaining relevant documents to this, following up on statement requests and provision of assistance to staff involved in these processes.
Be responsible for and to assist the Legal Team with obtaining, copying, and collating medical records and other documents pursuant to requests for disclosure from HM Coroner and for ensuring compliance with deadlines.
Provide a professional and high-quality secretarial service to the Head of Legal Services and Paralegals as required.
Attend legal meetings where required, take minutes where required and document and provide feedback as necessary.
Implement, manage, and keep up to date the departments online service ensuring all information is relevant and up to date.
The post holder will be required to demonstrate confidence, energy and enthusiasm and excellent communication skills in addition to understanding the importance of maintaining the quality and accuracy of their work. To be responsible for administering information using a spreadsheet, database or identified Trust information system such as Patient Centre, E Care Logic, PARIS and IAPT us ensuring that all information is completed within deadlines where appropriate.
The role involves liaising with a wide range of colleagues across the Trust, in addition to members of the public and external agencies and as such the post holder will be expected to have a polite, confident, and professional manner.
