Hays are working with a renowned Legal firm in Shrewsbury who are looking for a Legal Secretary on a temporary basis covering 4 weeks from the end of April.
Your new role
As a Legal Secretary your role will be to assist the managers, providing secretarial and administrative support to enable them to operate at optimum efficiency. The post holder is expected to use a high degree of self-management and initiative and to maintain a highly professional, efficient, confidential and friendly service ensuring quality service to clients is always achieved.
Duties will involve:
- Word processing/typing and collating correspondence and other documents from audio/digital dictation, amending and formatting documents quickly and accurately.
- Day to day typing of letters, memoranda, monthly reports, bill, file notes etc.
- To be a point of contact for clients in the absence of the Fee Earner and to answer incoming calls (including those to other staff in the office who are away from their desk) in a professional and friendly manner taking messages and passing on to appropriate person(s).
- Creating and amending legal documentation.
- Maintaining diary systems where appropriate along with arranging and booking of meetings.
- Maintaining effective filing systems including scheduling of files for archiving and retrieval of files from storage.
- Assist with the payment and processing of invoices.
- Assisting with monthly billing.
- Ensuring compliance with quality standards and the firm's policies in general.
- Working as part of a team to ensure that effective secretarial cover is maintained.
- Deal with client information with the utmost confidentiality.
What you'll get in return
In order to be considered for this position you will be an experienced Secretary with audiotyping and dictation experience. You will need to be available to start at the end of April for 4 weeks.
