Overview:

As a Lettings Operations Co-Ordinator, you will be responsible for providing administrative support and services for the Lettings Operations Department. You will be an experienced Administrator who can support on multiple administrative duties to enable works to be completed smoothly and with all relevant documentation completed and filed within required timeframes. You will also liaise with the L&D teams on internal audits to support and administer improvements in processes.

  • A basic salary of £28,500 to £36,500 (dependant on experience)

  • Ideally will have demonstrable experience within Lettings Operations, Residential Lettings or Property Management.

Outline of the Key Responsibilities and Competencies of a Lettings Operations Co-Ordinator at Spicerhaart

Recruitment Support:
  • Assist the STAT team providing diary management for all interviews for line managers.
  • Collate feedback from all recruitment interviews with the line managers and provide to STAT team.
  • Liaise with line managers to arrange social media posts to advertise each new role.

Co-ordinating launch of new starters:

  • Liaise with L&D to ensure there is a bespoke onboarding plan for each role to include day 1 with line manager and branch visit from AD/PMD within the first month for all new starters.
  • Liaise with line managers, IT and Fleet to arrange the ordering of a car (if applicable) and all equipment.
  • Co-ordinate new starter staff photo on day 1.
  • Coordinate new starters and promotions communications for circulation within Lettings division.
Day to Day responsibilities:
  • To provide administration support to the Operations team
  • To provide administrative project support for the ongoing delivery of Lettings projects
  • To ensure that project deliverables is at the forefront of daily activity and that any issues are dealt with in a prompt and accurate manner.
  • Support line managers with the completion and submission of SRB forms
  • Accurately maintain records and databases to include: -
  • Maintaining Family Tree & team configurations,
  • Maintaining staff headcount sheets,
  • Maintaining staff movement sheets,
  • Track and maintain probation reviews,
  • Track all monthly 121’s has been booked.
  • Liaise with Head of STAT to create a tracker with any identified issues from 999 calls and agreed follow up actions with line managers. Provide to MD and OD monthly.
  • Collate all updates to the monthly flight tracker data from AD’s.PMAD’s/LD/PMD to MD and OD for review and to agree action plans.
  • Liaise with Head of L&D on results of any audits to provide communications to the business managers.
  • Contribute to a positive and collaborative team environment.
  • Promote change.
