Job description

We are seeking an innovative, compassionate, and enthusiastic administrator to join the newly established Macmillan Prehabilitation Team, based at Northampton General Hospital. You must have good communication skills, show empathy and compassion and be able to support the team to provide a holistic approach to patient care.
Following a successful bid to Macmillan, funding has been secured for 3 years to form a dedicated Prehabilitation/Rehabilitation Team to support patients who are preparing for and undergoing cancer treatment. The service will provide proactive and preventative interventions including physical, nutritional and psychological interventions for patients to improve their clinical, functional and emotional outcomes as well as patient experience. The service will start with patients having cancer surgery in year one and extend to other systemic treatments including chemotherapy and radiotherapy in year two and beyond.
The successful candidate will be an integral member of the Prehabilitation Team working alongside occupational therapists, a physiotherapist, dietitian and assistant practitioner.
The post has fixed term funding for three years and is advertised for 37.5 hours per week.

To work under the direction of the Macmillan Therapists in an administrative role, supporting the implementation of cancer Prehabilitation/Rehabilitation programmes across the organisation.
To provide an administrative service to support duties associated with the Macmillan Prehabilitation/Rehabilitation Team.
To provide a point of contact for patients and multi-disciplinary team members.
To undertake data collection and recording to support the long-term funding ambition of the service.

To provide administrative support to the Macmillan Prehabilitation/Rehabilitation Team
To respond to telephone and email queries from patients and/or their carers, responding in a timely, courteous and sensitive manner.
To liaise with team members regarding telephone/email queries from patients with urgency when required.
Establish and maintain essential paper and electronic filing systems associated with meetings and ongoing projects.
Take, transcribe and circulate minutes of meetings as instructed within agreed time frames.
Arrange meetings as requested for members of the team, including booking rooms if required.
Coordinate papers and agendas in preparation for all internal and external meetings, highlighting areas for action.
Input into diary management of the team, planning and co-ordinating diary events, anticipating needs such as information or correspondence required and ensuring that these are available.
Checking the team diary and supporting with safety due to the lone working nature of the team.
To book patient appointments into clinician diaries when required and to telephone or email patients confirmation.
To assist with cancelling and re-arranging patient appointments during periods of unplanned absences e.g. sickness.
Maintain and update project and work stream documentation, including databases.
Work alongside the assistant practitioner to maintain stocks, order stationary or other equipment and work in conjunction with colleagues to ensure the most economic use of resources.
To maintain confidentiality in line with Trust and Data Protection policies including when sharing information with internal and external agencies.
To use Microsoft Office applications as required to complete tasks relating to the job role.
To use clinical systems as indicated for administrative purposes.
Liaise in a professional manner with each member of the team, providing relevant information.
To be a flexible member of the team, able to respond to the changing needs of the programme.
To participate in the formal review process and plan future personal development and competencies to be achieved.
Collate and record activity data to demonstrate the effectiveness of the service, under direction of the Macmillan Therapists.
