What you'll do
- Administration - Co-coordinators for maintenance related procedures / documentation. Compile reports and update to senior managers as required.
- Mechanical and Electrical - Liaise with sub-contractors for call-outs, faults and scheduled service visits as required.
- Reconciliation of Invoices - Ensure that all materials purchased are invoiced correctly and cross checked against the original purchase order for sign off
- Filing - Responsible for the administration of departmental filing including both paper and electronic formats. Also responsible for the quality and filing of all documentation associated with technical services and reactive / preventative repairs.
- Cost Planning - Responsible for overall maintenance budget to include, reactive and preventative repairs and ensuring that all spending is in line with planned budgets.
- Building Maintenance - Responsible for building maintenance tasks and arranging for reactive maintenance to be completed as required. Also required to schedule and coordinate all applicable planned preventative maintenance on applicable equipment and ensuring that contract timeframes and schedules for same are met.
- Cleaning - Responsible for ensuring cleaning standards are maintained and liasing with cleaning company for any issues that may arise.
- Data Input - Collate information as required and/or directed by the Facilities Manager and produce statistical support information as required.
- Meetings - Attend and actively contribute to team meetings.
- Ad-hoc Tasks - Flexible and adaptable to respond to reasonable ad-hoc task as required
What you'll need
- Technically qualified in either Mechanical / Electrical, Building Services or Facilities Management.
- Previous Facilities experience desirable but not essential.
- Excellent MS Office Skills (Excel, Word, Power Point).
- Very organised and self-motivated with a proven ability to work to tight timescales.
- Excellent interpersonal skills and communication skills both written and verbal.
- Able to work unsupervised and as part of a team.
- Ability to maintain confidential information and be discreet when dealing with sensitive issues.
- Strong administration, organisational, documentation and analytical skills.
