The following are the core responsibilities of the Medical Secretary. There may be, on occasion, a requirement to carry out other tasks as required by the Administration team. Typing letters, reports and associated documentation as required. Liaising with external agencies such as hospitals and community services, ensuring any referrals are processed efficiently. Process Tasks sent by clinical staff Processing referrals quickly and efficiently using the Electronic Referral System (ERS) Manage all Administrative/Secretarial enquiries in an effective manner Maintain an accurate referrals database Action all incoming emails Processing of patient requests for Medical records information Processing of third-party requests for Medical records information (i.e. SAR, insurance, Solicitors & DVLA) Book appointments for Medicals as required Input data and read code data into the patient healthcare records as necessary Answer incoming calls, transferring calls or dealing with the callers request appropriately Carry out system searches as required Support all clinical staff with general administrative tasks as requested Other Tasks Book appointments and follow ups for patients as required Cancelling and rearranging clinics when necessary Chaperone duties for clinicians Complete opening and closing procedures in accordance with the room rota Ensure building security have thorough knowledge of doors/windows/alarm Undertake any other additional duties appropriate to the post as requested by the Partners or Practice Management.
