Job Summary:
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The Office Administrator will be responsible for managing day-to-day administrative tasks, ensuring smooth office operations, and providing support to the team. The ideal candidate will have excellent organizational skills and be proficient in using various office software and tools. Xero, Sage and excel are neccessary
Duties:. Customer care is paramount.
- Perform general administrative tasks such as answering phone calls, responding to emails, and managing correspondence
- Maintain office supplies inventory and place orders when necessary
- Coordinate and schedule meetings, appointments.
- Assist with data entry, filing, and record keeping
- Prepare and distribute memos, letters, reports, and other documents
- Manage office calendars and schedule appointments
- Assist with bookkeeping tasks using QuickBooks software
- Provide support to the team as needed
Qualifications:
- High school diploma or equivalent required; associate's degree in business administration or related field preferred
- Proven experience as an office administrator or in a similar administrative role
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Slides)
- Familiarity with Sage , Xero or other accounting software is a plus
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent communication skills, both written and verbal
- Attention to detail and accuracy in data entry and record keeping
- Ability to maintain confidentiality of sensitive information
- Professional phone etiquette and customer service skills
