Job description

Our client, based in Aylesbury, are seeking an experienced Office Administrator to join their growing team. This is being recruited for an immediate start on a Permanent basis.

The successful individual will be highly organized and proactive Office Administrator who will play a vital role in ensuring the smooth and efficient operation of our client's office environment. From managing supplies to assisting senior management and overseeing administrative tasks, you will be a key contributor to our team's success.

Key Responsibilities:

  • Take inventory of office supplies and order as needed.
  • Assist in establishing, implementing, and maintaining office procedures.
  • Provide support to the senior management team as required.
  • Maintain online and paper filing systems.
  • Record office expenditure and manage the budget.
  • Manage supplies of stationery, equipment, and staff uniforms.
  • Maintain the condition of the office and arrange for necessary repairs.
  • Assist in the recruitment of new staff and provide training and induction support.
  • Ensure adequate staffing levels to cover absences and peaks in workload.
  • Assist with staff appraisals, performance management, and disciplinary administration.
  • Promote staff development, engagement, and training initiatives.
  • Prepare reports for senior management.
  • Review and update health and safety policies and ensure compliance.
  • Ensure adherence to data protection laws and review/update policies.
  • Arrange regular testing for electrical equipment and safety devices.

Skills Required:

  • Excellent organizational and time-management skills.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and other office packages.
  • Strong IT and typing skills.
  • Ability to prioritize tasks and work well under pressure.
  • Excellent interpersonal, oral, and written communication skills.
  • Negotiation and relationship-building skills.
  • Attention to detail.
  • Flexibility and adaptability to changing workloads.
  • Problem-solving approach to work.
  • Project-management skills.
  • Familiarity with legislation in areas such as employment, equality, diversity, and data protection (useful but not essential).
