Role: Office Administrator
Salary: up to 23K + 25 days holiday
Location: Bury St Edmunds (office-based)
Job Overview:
We are seeking a detail-oriented and organized individual to join our team as an Office / contact Administrator. The ideal candidate will play a crucial role in ensuring the smooth day-to-day operations of our office. This position involves managing administrative tasks, coordinating office activities, and providing support to various departments.
Responsibilities:
Administrative Support:
- Perform general clerical duties, including photocopying, scanning, and filing documents.
- Manage and organize office records, ensuring easy retrieval and confidentiality.
- Assist in the preparation of reports, presentations, and other documentation.
Communication:
- Serve as the primary point of contact for office-related inquiries.
- Coordinate communication between departments and external parties.
- Manage incoming and outgoing mail, emails, and phone calls.
Office Coordination:
- Oversee office supplies and maintain inventory levels.
- Coordinate meetings, conferences, and appointments.
- Ensure office equipment is in working order and arrange for repairs or maintenance when necessary.
Facilities Management:
- Collaborate with building management to address office maintenance needs.
- Organize office layout and maintain a clean and organized workspace.
Financial Administration:
- Assist in managing office budgets and expenses.
- Process invoices, track expenditures, and reconcile financial records.
- Contract renewals
Qualifications:
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience in an administrative role.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Attention to detail and problem-solving skills.
