Position Overview
Office Administrator works directly with Logistics Coordinator to complete weekly scheduling of loads, including but not limited to, pulling all orders for the upcoming week, completing data entry of order numbers into weekly schedule, sending tenders to carriers, sending daily ETA emails to all scheduled carriers, and assisting when necessary with any questions carriers may have.
This will be a part time position of 25hrs-30hrs a week.
Key responsibilities:
- Check in all truck drivers and provide them their necessary paperwork for the assigned pickups on site. Following loading complete entry of data in customs and provide driver and dispatches copies.
- Complete new customer entries in ITS customs system, ERP system, and Adobe templates.
- Answer incoming calls and redirect them to appropriate departments, when required take clear and concise messages.
- Greet and check in all vendors and advise shipping or specified employee of their arrival.
- Complete daily invoicing for all orders shipped.
- Maintain organized filing for both Accounts Receivable, and Accounts Payable.
- Match Accounts payable invoices to packing slips for submission.
- Order and maintain inventory of all office supplies (including staples, and amazon orders).
- Supporting other departments with administrative tasks such as photo copying, scanning, and printing.
Qualifications:
- Previous 1 to 2 years experience in a similar position preferred
- Ability to multitask
- Excellent communication skills and a team player
- Organized and Detail Oriented
- Ability to prioritize tasks to ensure completion of daily duties
- Ability to work under pressure and meet deadlines
- Basic knowledge of: Excel, Adobe, Word, and Outlook
- Ability to work overtime when required
- Ability to be cross trained in multiple functionality
