The Purpose:
As the Office Coordinator, you will be the first point of contact for the London office. You will get the opportunity to wear multiple hats: you will organise and coordinate office administration and procedures in order to ensure organisational effectiveness, efficiency and safety and you make sure everything in the London office is running smoothly.
You will be key in helping with building culture in the London office as we continue to see more people back in the office: creating a cleaner, more efficient & welcoming office environment, ensuring a smooth onboarding process for all employees and organising & driving office social events across the year.
This is a part-time role that requires working 24 hours per week (This is to be completed 4 days per week, working 6 hours per day Monday- Thursday OR 3 full days Monday, Wednesday & Thursday)
What you'll be doing:
- Responsible for coordinating all aspects of daily office operations, including office space, meeting rooms, tea & coffee facilities, ordering supplies, stationary, maintaining equipment, allocating and keeping audit on lockers, post in/out and couriers
- Liaising with the building management office & maintenance providers
- Coordinate and lead on regular events and activities for the London Office
- Work closely with the EA to CEO/CFO and internal committees to curate a cultural programme of events and activities
- Ensure that the office is a safe place to work at all times, taking day to day responsibility for health & safety compliance and ensuring annual checks are completed, and help maintain a high audit pass rate
- Arranging First Aid and Fire Marshall Training to ensure we have appropriate daily coverage
- Arranging desk risk assessments & ordering correct equipment
- Processing invoices for London Office & managing contracts
- Keeping track & staying within of London Office budget
- Organising induction programmes for new employees and working closely with IT ensuring smooth setup.
- Oversee the administration of office access, ensuring new starters and leavers have correct access
You'll need to have:
- Proven experience as an office manager/coordinator, administrative assistant, or similar role.
- Excellent organisational and time management skills with the ability to prioritise tasks.
- Strong attention to detail and accuracy in all work.
- Excellent communication skills, both written and verbal.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility and adaptability to handle changing priorities and deadlines.
Salary will be paid Pro rata.
