This marketing agency in London specialises in the retail sector, they work with some exciting brands and have just moved into a newly renovated office in London due to growth. As the Office Manager / EA, you will be integral in setting the culture and ensuring the office runs smoothly.
Job Description
- Prepare meeting rooms before external meetings - refreshments, snacks, gifting are in the room.
- Meeting & greeting external visitors.
- Arrange staff events i.e., Summer & Xmas Party
- Travel research and booking, including flights, accommodation, and taxis.
- Experience in office moves and managing everything including fit outs.
- Ordering office supplies - stationary, water, food etc.
- Arranging couriers
- Post purchase & sales invoices on the finance system
- Oversee the cleaning contract and ensure office cleaning is upheld to a good standard.
- Manage new starter inductions and onboarding.
- Order printer toner/paper - log calls for faults
- Booking, coordinating, and preparing agendas, notes, & minutes for meetings
- Be a super user for the business CRM/Finance system Access.
- Write user guides for any office processes.
- Manage Teams channels.
- Manage & maintain SharePoint migration from Dropbox.
- Manage and oversee filing structure.
- Manage team holiday calendar.
- Completing finance forms for suppliers
- Timely submission and tracking of monthly business expenses for the team.
- IT equipment fault reporting
- Maintaining an IT equipment log - laptops
- Provide support in on boarding new starters to facilitate a smooth transition.
- Answer all office calls and transfer to the relevant contact.
- Maintain a key log.
- Oversee First Aid & Fire Warden Training

What's on Offer
