Role Description
Reporting to the Head of HR, this role will be primarily responsible for administrative management and front desk management. Managing an office of around 100 employees. The role will be suited a very hands-on candidate in a busy and fast pace working environment.
Job Description
● Provides administrative support including but not limited to office supplies management, facility maintenance, vendor billing management, mail distribution, office maintenance, filing systems improvement. Take initiative to make office improvements.
● Spearheaded HR functions such as induction, training, team-building activities, and office event planning. To foster a positive and collaborative work environment.
● Manage incoming and outgoing correspondence.
● Perform receptionist work as required.
● Schedule meetings and coordinate travel arrangements.
● Invoice and payment processing.
● Coordinate with IT support and oversee the management of office technology.
● Enforce and promote compliance with company policies and procedures in accordance with relevant regulations.
● Managing the front desk, handling phone calls and welcome visitors in a courteous and professional manner.
● Enforce safety regulations to ensure the office security and safety
● Others ad-hoc assignments
The Successful Applicant
● Bachelor’s degree in Business Administration, Management, or a related, relevant field.
● Proactive and committed attitude;
● Highly reliable to keep up with the demands of the Office and Company requirements;
● Excellent written and spoken English;
● At least 10 years’ experience in a similar role with a proven track record;
● Demonstrable experience of problem solving and using own initiative skills;
● Excellent coordination and organisational skills;
● Must be able to perform independently and with minimal supervision, fast learner.
● Strong prioritisation, organisational and multitasking skills.
● Experience with health and safety regulations.
● Proficient in the use of office equipment, including phone systems and printers.
● Familiarity with office software (e.g., Microsoft Office Suite).
● Ability to handle confidential information with discretion.
● Fire marshal certified desirable, but not required;
● First aid certified desirable, but not required.
