Job description

Position: Office Manager

Join our clients dynamic team as the Office Manager, where you'll play a pivotal role in ensuring the seamless operation of the office. Your responsibilities will encompass overseeing administrative functions, managing office facilities, and providing crucial support to the team.

Key Responsibilities:

  • Phone Management: Answering calls and taking messages promptly.
  • Mail and Deliveries: Signing for deliveries, opening and scanning post, and distributing it accordingly.
  • Guest Services: Welcoming and assisting guests, offering refreshments, and ensuring a positive experience.
  • Supplies Management: Ordering office stationary and kitchen supplies to maintain a well-stocked and organised work space.
  • Meeting Coordination: Preparing and booking board rooms for meetings.
  • Equipment Oversight: Managing company equipment inventory, issuing and maintaining items like IT equipment and company mobile phones.
  • Procedural Maintenance: Assisting in establishing and maintaining office procedures, including fire drills, first aid, and health & safety protocols.
  • Security Access: Managing security access to the office and maintaining accurate records for new joiners and leavers.
  • Communication Hub: Keeping staff updated on new policies and company notices.
  • Event Planning: Arranging office events and providing support for miscellaneous ordering as required.
  • Management Assistance: Supporting the senior management team as needed.
  • On boarding Support: Assisting with staff on boarding and orientation, including scanning documents or conducting office tours.
  • Training and Seminars: Attending and arranging office seminars and training sessions.
  • Facility Maintenance: Keeping kitchen and break areas tidy, ensuring organised and professional office spaces.

Person Specification:

  • Proactive and positive with a can-do attitude, thriving in a fast-paced environment.
  • In-depth knowledge of the office environment, acting as the go-to person for all staff.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and effective problem-solving abilities.
  • Proficiency in all Office programs, with the ability to train and enhance skills within the company.
  • Previous experience as an Office Manager or in a similar administrative role is essential.
