ProXES UK & Ireland Limited Office Manager (Part-Time 60%/22.5 hours per week)

Company Details

ProXES UK & Ireland Ltd is a UK sales and service business of German-based ProXES GmbH, manufacturers of FrymaKoruma and Terlet mixing, milling, heating, and cooling equipment.

Sales of new equipment, spare parts, and services to customers across the UK & Ireland. Customers are well-known producers of food, pharmaceuticals, chemicals, and personal care items.

ProXES UK & Ireland are currently a small team of 3 based in offices in Huntingdon.

Job Role

To manage the ProXES UK & Ireland office finance and administration functions.

To work closely with service and sales colleagues to complete the necessary office and finance administration tasks for the business to run smoothly.

Reporting to the Managing Director.

Office-based 22.5 hours per week.

Tasks & Responsibilities

Invoice customers using Quickbooks software.

Ensure customers pay on time and chase debtors.

Collate supplier invoices for payment and liaise with group companies during the month-end intercompany consolidation.

Set up bank payments.

Work with our external accountant to collate information for the monthly P&L.

Estimate incoming and outgoing cash to provide a weekly cash flow forecast.

Work with finance colleagues in Germany to submit order intake and sales reports.

Set up new customers and suppliers.

Keep the Salesforce CRM system updated with accounts-payable contacts.

Liaise with auditors annually to provide the requested financial information.

Flexible and work as part of a small team

Provide cover to quote customers and raise purchase orders using Quickbooks.

Provide cover to organise shipping and raise customs docs.

Key Skills

Office management or administration experience.

Experience in invoicing and finance software experience e.g. Quickbooks or similar.

Excellent numerical skills.

Attention to detail.

Flexible, can-do attitude.

Good written and verbal communication skills.

Good administration and organisational skills.

Able to work in a small office environment and as part of a small team or on their own.

Minimum education A-Level or equivalent with maths and English at GCSE Grade C.

MS Office 365 - Word, Excel, Outlook, Powerpoint, Teams. Quickbooks or similar.

Package

Part time salary upto GBP22k depending on skills and experience.

26 days holiday per year + bank holidays.
