Exciting opportunity for a full time Office Manager/Samples Co-ordinator, based in Evesham, with earnings between £25k and £30k per annum. Working hours will be 8am - 5pm Monday to Friday.
My client is looking for someone to join their ever-growing team in Evesham. You will need to be an effective team player, with strong organisational skills and an ability to multitask in a fast-moving environment.
You will be expected to undertake a variety of duties to ensure the smooth running of the office as well as taking charge of co-ordinating incoming and outgoing frozen samples .
You will need a can-do attitude and be willing to muck in with any job if required, which will include some housekeeping tasks to ensure the office building is maintained to a high standard.
Main duties will include, but are not limited to:
Office admin tasks:
- Responsible for all aspects of office administration activities whilst being reactive to the needs of the business.
- Warmly greet visitors to the office; answer phone calls in a polite professional manner, passing on clear messages where appropriate.
- Manage correspondence by responding to emails and handling incoming and outgoing post.
- Maintain effective systems ensuring that all manual and on-line filing records and systems are kept up to date.
- Accountable for some invoicing administration.
- Assisting the logistics team to ensure that any stock shipped from abroad is accurately delivered and booked into the correct storage locations.
- Investigate and set up any new facility requirement such as stationary, cleaners and maintenance (in line with site manager).
Support the Sales & R&D teams with innovation days & customer meetings:
- Meet & greet customers.
- Organise refreshments.
- Prepare meeting rooms and presentation areas.
- Printing of meeting materials as required.
- Organising internal lunches, booking of restaurants, hotels, taxis etc.
Sample co-ordination:
- Work with supply chain to order sample stock from warehouses.
- organise couriers or liaise with transport to collect & deliver samples.
- Coordinate raw materials & packaging to ensure samples can be produced either on site or at one of our Dutch/Spanish sites.
- Manage sample requests from R&D and Sales teams.
- Manage incoming samples and ensure all stock logged.
- Sort and despatch frozen samples
- Maintain sample trackers.
- Communicate clearly the status of samples with all relevant individuals.
Skills/Experience
- Excellent attention to detail
- Good IT skills especially Word and Excel
- Previous office administrative experience
- Strong communication skills and the willingness to support others.
- Excellent written and spoken English
- Professional and confident telephone manner
- Have transport and be able to commute to the office daily.
