Women in Film & TV UK is looking for a Membership and Office Coordinator to facilitate the smooth running of their busy office.
About Women in Film & TV UK
Women in Film & TV UK is the leading membership organisation for women working in creative media in the UK and as proud members of Women in Film & Television International we are part of a global network of over 12,000 women. Members of our organisation come from a broad range of professions spanning the entire film and television industry.
We host a variety of online and in-person events throughout the year, present a prestigious awards ceremony every December and run a four nations mid-career mentoring programme for women. We also run a leadership initiative and a screenwriters’ lab, collaborate with industry bodies and promote women’s interests.
About the role
The Membership and Office Coordinator facilitates the smooth running of our busy office. The ideal candidate for this role will have at least two years’ administration experience and be meticulously organised, with an excellent eye for detail and a can-do attitude. Proficiency in Word and Excel, excellent numeracy, previous experience in financial processing and the ability to maintain and monitor database systems are essential. The successful candidate will have a positive attitude, an excellent telephone manner and be a strong team player. Punctuality and the ability to prioritise their own workload are also essential requirements. The role will also be required to assist with WFTV events on occasion.

Responsibilities
- Administrative assistance and diary management for the CEO.
- Managing the office calendar and administrating team meetings.
- Prepare for external and internal meetings, including preparing and circulating papers, meeting room bookings, and organising refreshments.
- Act as a first point of contact for members’ enquiries via phone and email.
- Maintain and update the WFTV membership database.
- Working with the CEO to drive and oversee Corporate Membership plans.
- Maintain membership payment records.
- Create monthly membership reports.
- Manage and deliver regular online member meet-ups and attend monthly in-person member meet-ups in London.
- Update the members’ area on the website, including the member’s noticeboard.
- Secure exclusive member discounts with partner organisations.
- Answer phone and email queries appropriately.
- Pay invoices and manage payroll using online system.
- Generate invoices and track debtors.
- Maintain office filing systems.
- Prepare for board, finance committee and internal meetings, preparing and circulating papers, organising refreshments.
- Liaise with IT support and website support when necessary.
- Monitor stationery, office equipment and supplies.
- Liaise with office contractors when necessary.
- Assist with WFTV events & awards where required.
Person specification
Essential
- At least two years’ experience in an administrative or office management role.
- A team player, with excellent people skills and the ability to work collaboratively.
- Financially literate, with knowledge of basic budgeting tasks, experience processing invoices and basic financial record keeping.
- Exceptional organisational skills with an ability to prioritise competing deadlines.
- Excellent verbal communication skills.
- High level attention to detail.
- Positive attitude and a ‘can do’ approach.
- Able to work calmly under pressure, and with discretion.
- Be committed to achieving high standards with the resources available.
- Understanding of the principles of equality and diversity, and the ability to apply and promote these in practice at work.
- Interest the work of WFTV and a passion for gender equality.
- Experience working with online member/customer databases and/or ticketing platforms.
- Excellent IT skills including Outlook, Word, Excel, PowerPoint, and SharePoint.
Desirable
- Experience working for a membership organisation or in a customer facing role.
- Experience working in live events, film, TV, or the culture sector.
- Experience using Zoom, Wix, Typeform (or other similar CRM systems).
