Our client supports the Princess Royal University Hospital in Orpington and they are now seeking an experienced Administrator to support their on site operation. You will enjoy working in a hospital environment, be highly organised and enjoy working in a fast paced environment.
Your role will involve providing professional administrative support to the Hospital, Site Manager, Team Leader and Engineers by consolidating and streamlining administrative operations, creating and monitoring reports and producing correspondence and documentation to a high professional standard. Build long term relationships with customers, subcontractors and staff to ensure responsiveness and superior customer service.
The Role
- Request, acquire and validate quotations for both renewals and new external contracts by working closely with Biomedical Engineers
- Create delivery notes for external contracts as services are received.
- Administer external contracts and manage the external service reports in EQUIP, our computerised maintenance management system (CMMS). Ensure completeness of documentation and that all equipment on contract is serviced in a timely fashion
- Liaise with External supplier and clinical department to arrange service visit
- Create EPOD orders for parts, goods and services as needed
- Complete associated admin needed to close repairs
- Liaise with 3rd party suppliers for spare part and contract quotations
- Ensure data integrity within the management systems
- To attend, take minutes customer meetings when required
- Receipt and label spare parts and goods on delivery and create delivery notes as parts, goods and services are received
- Sending equipment & goods to suppliers
- Logging/Booking call outs
- Assist with coordinating daily front line service (working closely with the Team Leader)
- Maintain the department's office supplies and stationary as required
The Person
- Previous Admin experience is essential
- Experience liaising with engineers would be beneficial
- Knowledge of MS Office suite, PowerPoint, Access and Publishers, Excel
- Excellent communication skills
- Ability to manage substantial workloads, prioritising as appropriate
- Excellent organisational skills
