- Hours: 08:30 - 17:30
DUE TO LOCATION OWN TRANSPORT IS REQUIRED.
Our client is looking for an Operations Assistant, who will support customer service, logistics and the finance team. This person will need to handle small part purchases and therefore have procurement knowledge or experience. A successful candidate will also have high quality customer service and organisational skills. This role will be to assist in managing engineer schedules, be a point of contact for clients, monitor shared inboxes and provide excellent customer service.
Operations Assistant Responsibilities:
- Maintain positive client relationships.
- Keep clients informed about engineering visits.
- Dispatch the correct engineers for each task.
- Ensure timely client payments.
- Keep the company CRM system updated, especially for new customers.
- Complete necessary paperwork and administrative tasks.
- Coordinate with the warehouse team for parts availability and dispatch.
- Respond to telephone and email inquiries promptly.
- Handle invoicing and accounts inquiries.
- Adhere to brand communication standards.
- Address and resolve complaints, when possible, escalate when necessary.
- Process payments for engineering services, including upfront payments for those without completed credit agreements.
- Assist the Head of Customer Services with various tasks.
Operations Assistant requirements:
- Excellent communication skills.
- Broad knowledge of administration processes.
- Friendly and approachable personality.
- Good IT skills and familiarity with computer systems.
- Previous experience in a related field or customer-facing role.
- Procurement experience.
- Strong math skills for simple calculations.
- Team player with effective collaboration skills.
- Can work to and meet deadlines.
- Ability to multitask effectively.
- Punctual and effective time management.
