The Role
We are looking for a tech-savvy Operations Manager. You’ll be the architect and the fixer for the agency. Astute and ingrained enough to spot opportunities for improvement and empowered to act upon them.
Working under the direction of the Executive Director | Operations but with a high degree of autonomy, you will work to ensure smooth integrations of the agency’s tools, processes, teams, and systems. You’ll lead on specific projects whilst developing strong working relationships with key stakeholders across the business, understanding their challenges and identifying opportunities to ameliorate them.
Strong internal relationships with the Channel Leads and with senior Client Experience staff are essential, since any commonality of purpose or of process among the different teams will offer key areas for the Operations Manager to add value, likely in co-ordination with Client Experience leadership and their capacity to change Client Experience processes and influence client requirements.
Relationships & Tasks
- Reporting to the Executive Director | Operations, the Operations Manager will play a key role in the agency’s wider operations management.
- Supporting the Associate Director | IT & Security to ensure optimal and secure use of IT systems and support the roll out of new technologies as they become available.
- Working alongside the Finance & Compliance Manager to deliver appropriate, workable and compliant ways of working.
Key Duties and Responsibilities
- Controlling and diminishing operational risk to the business
- Identifying operational efficiencies that will increase profitability within the business
- Ensuring safe and optimal use of the agency’s resources (cars, offices, software)
- Contributing to the agency’s ESG agenda (carbon modelling and reduction; data security and governance)
- Working to ensure a new ERP (Dynamics 365 Business Central) is properly ingrained with the agency’s other platforms and its ways of working: seeking out and leveraging integration opportunities with Jira, Power Automate, Looker and biddable media platforms
- Working with the agency’s solicitors to overhaul the existing Terms and Conditions and templated SLA documents
- Support with work around lease renewals or office relocations
- Streamline the onboarding and offboarding of clients and staff
- Keeping policy documents abreast with the latest legislation and cost of living changes
- Ensure working relationships with external suppliers are efficient, compliant and smooth-running
- Working in concert with our Solutions Architect to identify efficiencies in recurring tasks across the business (for example, briefing, time sheeting, reporting)
Experience / Skills
- Proficient in Microsoft Dynamics or possessed of the capacity to adapt experience in a similar platform
- Experienced with Jira, SharePoint, Meta Business Manager, DV360, Google Ads, Looker, Power BI
- Comfortable working across multiple projects simultaneously and to tight deadlines
- A creative agency or media agency background
- Self-starting and curious: capable of identifying ways to add value and comfortable setting the agenda at least some of the time, but adept at working collaboratively
- Interested in or experienced in automations, integrations and AI
