Pay Range
$76,080 - $108,564 Annually
$76,080 - $94,440 Annually for the A07.1 level
$87,450 - $108,564 Annually for the A07.2 level
Please note that the pay range information is a general guideline only. Many factors are taken into consideration when setting starting pay including education, experience, the external labor market, and internal equity.
Job Description
We have an opening for an Oral History & Digitization Specialist. You will be responsible for working across functional areas to help to acquire, organize, preserve, retrieve, distribute, catalog the permanent, and historically significant records of the Laboratory and the weapons program. Specifically, this position is responsible for the growth and development of the weapons program's Oral History effort, including scheduling, video editing, transcript generation, and distribution. Additionally, you will assist in tasks related to document and analog media scanning and uploading, metadata generation, content management, and reference assistance. You must demonstrate the ability to work well as part of a team, and to maintain a high standard of quality and attention to detail in multiple aspects of your work. You may also serve as additional support to the Engineering Record Center Special Projects & Operations group, interacting with principal contributors in accomplishing information media work objectives. This position is in the Knowledge Management (KM) program within the Strategic Deterrence (SD) directorate.
This position will be filled at either level depending on your qualifications. Additional job responsibilities (outlined below) will be assigned if you are selected at the higher level.
In this role, you will

  • Perform a range of complex responsibilities including the management, processing, protection, and control of unclassified and classified materials.
  • Process materials through the internal Information Management (IM) system to ensure proper file marking and distribution.
  • Plan and manage a schedule with Oral History candidates and select candidates for oral histories according to internal priorities.
  • Do appropriate research prior to conducting each Oral History interview by preparing questions specific to each candidate’s work, and by ensuring appropriate forms are available for signature.
  • Conduct audiovisual recordings of oral histories, including technical setup of lights, cameras, and microphones prior to the interview.
  • Process video of Oral History recordings according to institutional standards and edit autogenerated transcripts.
  • Operate paper, film, DVD, CD, and audiotape scanning equipment using application software to retrieve data and images for archival, reproduction, and digital purposes.
  • Scan classified and unclassified documents, and other media type materials by following the appropriate procedures for each.
  • Add metadata to PDF files of scanned documents, and index that metadata into the appropriate system.
  • Respond to requests for documents or related information from internal and external requestors.
  • Track and report weekly digitization metric efforts and communicate with Classified Digitization Program Manager (CDPM) to provide status of special projects and operation activities.
  • Liaise between document creators and IT developers to ensure files are uploaded appropriately to the Document Management System (DMS).
  • Recognize and support plans to promote and foster a culture of diversity, equity, and inclusion within the workplace.
  • Perform other duties as assigned.

Additional job responsibilities at the A07.2 level

  • Assist in metadata management tasks using DMS and Smart logic Semaphore.
  • Engage in strategic planning to build a foundation for historical research at LLNL based on Oral History program.
  • Design and execute Oral History digitization effort in collaboration with institutional archives.
  • Perform advanced operational activities of equipment functionality, maintenance, development of process procedures, workflows, setting priorities, tracking tasks to completion, and external vendor support.
  • Represent the KM program and the ERC Special Projects & Operations team at management meetings and conferences, occasionally present work to management.
  • Liaise with other divisions, partners, and stakeholders to maintain working relationships and facilitate internal information sharing.

Qualifications

  • Ability to secure and maintain a U.S. DOE Q-level security clearance which requires U.S. citizenship.
  • Familiarity with the LLNL weapons program and restrictions around CUI and classification levels.
  • Knowledge of basic archival principles and processes.
  • Knowledge of and experience working with digitization technology.
  • Experience with Microsoft Excel, Microsoft Word, Adobe Premiere, Adobe Photoshop 2021 or later, and Adobe Acrobat DC.
  • Experience in video recording and editing, and familiarity with basic recording equipment.
  • Experience working with customers to identify and address research questions.
  • Familiarity with arcane media types, such as microfilm, floppy disks, VHS tapes, and CDs/DVDs.

Additional qualifications at the A07.2 level

  • Bachelor’s degree in history, anthropology, literature, library & information science or an equivalent combination of education and experience.
  • Experience coordinating multiple work activities, workflow, and multi-faceted processes for a customer service area, including ability to lead administrative projects especially around scheduling and accommodations.
  • Experience developing business and service area processes and implementing process improvements for a service operation area.
  • Skills and experience to solve moderately complex technical problems.

Qualifications We Desire

  • Master’s/PhD degree in history, anthropology, literature, library & information science, or related field.

This position requires a Department of Energy (DOE) Q-level clearance.
