PA to directors and Receptionist
Outskirts of South Woodham Ferrers, Essex - Own transport is essential due to location of the company
8:00am to 4:00pm, Monday to Friday's
Salary: Up to 25,000 per annum DOE
Permanent position
PA to directors Key Responsibilities:
Monitor all directors email accounts, respond to emails accordingly, schedule meetings and pass emails to correct department.
Deal with any general tasks for directors.
Assist the directors to utilise their time more effectively. Protecting desk time of directors for them to undertake tasks.
Monitor LinkedIn profiles for directors. Adding new connections, responding to messages, and passing contacts or messages onto relevant department. Also assisting HR by re-posting or posting job opportunities.
Diary management for directors, schedule internal and external meetings, take minutes of meetings and produce summaries. Assessing priority of appointments and reallocation as necessary.
Daily morning review with director to update on urgent emails, update secluded meetings etc.
Book any travel arrangements when needed for directors or visitors.
Receptionist Key Responsibilities:
Acting as first point of contact for the organisation.
Serve any visitors, welcoming and directing appropriately. Make sure all visitors have signed in and completed relevant documents.
Answering phones and forwarding incoming phone calls. Screening phone calls and passing onto correct department. Taking messages from any phone calls and passing onto correct department.
Opening any post or deliveries and passing documents or parcels onto correct department or person.
Maintains security by following procedures, monitoring logbook, and issuing visitor badges.
Ensure reception area is tidy and presentable, with all necessary office stationery and material ordered when needed.
Directs visitors by maintaining employee and department directories. Update calendars and schedule meetings if needed.
Sorting daily emails on company general accounts and forward emails accordingly.
Perform other clerical receptionist duties such as filing, photocopying, scanning.
Knowledge and experience:
Experience of providing personal assistant support to senior management.
Diary management skills.
IT and administration skills.
