Vacancy Information
This role is within a unit where Surrey Police and Sussex Police work in collaboration, whilst remaining two separate legal entities/employers with different terms and conditions.
Both Surrey Police staff and Sussex Police staff are employed in this unit on their own force terms and conditions.
Successful candidates may be appointed on the terms and conditions of employment of either Surrey Police or Sussex Police, depending on organisational requirements. A discussion will be held with the successful candidate to confirm the details of location, salary, allowances and hours.

The starting salary for this role will usually be at the bottom of the salary range and will be pro-rata if the working hours are less than full time.

The Role & Key Responsibilities

The Department:
Our Digital Data and Technology Department is critical in enabling our front-line officers and staff to serve our communities through the effective use of transformational technology. The guiding principle of our department is to provide better services to front-line officers, staff, and support functions to enable both forces to maintain their commitment to the public. Working in accordance with our force priorities, DDaT continuously adapts, evolves, and innovates to enable improvements in how technology is exploited by our front-line staff.
The Role:
In this role you will be providing personal assistant support to the Chief Digital and Information Officer (CDIO).
In this role you will be providing administrative support for the Chief Digital and Information Officer (CDIO), who is responsible for providing IT leadership and strategy for Surrey Police and Sussex Police forces.

With the continuously evolving nature of the CDIO's role a can-do attitude, willingness to go above and beyond, and innovative use of initiative are all key to provide an excellent service to the CDIO and, consequently, Surrey Police, Sussex Police, and the public.
Operating at this level, this role gives the post-holder the opportunity to be exposed to meetings that will develop their strategic understanding of how different functions of the organisation work together to meet their priorities and serve the public. The ever evolving and changing environment will ensure you will have a lot of variety within your role - no two days are the same.
What will you be doing?
Your responsibilities will include:
  • Extensive calendar management, including booking meetings, managing conflicts, and booking rooms
  • Comprehensive administration support for meetings, including minute taking, compiling and distributing meeting materials, following up and taking initiative to ensure action points are completed
  • Briefing the CDIO on high risk or important issues, drafting necessary responses
  • Liaising with key stakeholders, including Senior Leadership and their Staff Office
Job location
This role will be based at Mount Browne or Lewes Headquarters, with the requirement to travel when needed. We encourage a hybrid approach to working, with some days in the office and some days working from home each week.
Skills & Experience
What skills do you need?
To be successful in this role you will work well under pressure and have the ability to multi-task. Working as part of a friendly and supportive team including the CDIO, Staff Officer to the CDIO and the wider senior management within DDaT, you will be a team player and able to communicate well with a wide range of people at different levels of the organisation.

Other essential skills include:
  • A good level of IT literacy, including excellent working knowledge of MS Word, MS Excel, MS PowerPoint and strong MS Outlook experience
  • Excellent organisation and attention to detail are a must as this role involves managing the CDIO's diary and commitments
  • Ability to balance conflicting priorities and make decisions accordingly
  • Proactive and enthusiastic attitude, with the ability to anticipate needs of the CDIO and act as necessary
  • The ability to complete accurate and fast note taking and typing
  • Good judgement and discretion in handling confidential and sensitive information whilst maintaining its integrity is crucial
