An exciting opportunity to join a growing business in the newly created role of Assistant to Director. A part-time role, working between 20-25 hours a week with flexibility on working pattern, but based in the Brinkworth Head Office.
We are looking for an experienced PA/ Secretary/ Office Manager to take on this newly created role to work closely with the MD to provide essential support, contributing to the efficient running of their operations during a pivotal moment of growth and expansion into the world of ecommerce.
In the role of Assistant to Director, you'll be responsible for:
- Efficiently managing the MD's e-mail and diary, prioritising commitments and demands.
- Maintaining accurate and current records, files, and directories, including confidential filing systems.
- Handling the ordering of office supplies and stationery.
- Precisely preparing documents, including letters, proposals, reports, presentations, and contractual documents.
- Maintaining accurate HR records and updating team holiday and sickness records.
- Reviewing and updating staff policies and guidelines.
- Organising team outings and incentives to foster a positive work culture.
- Filing incoming invoices payable and scheduling them for payment.
- Reconciling invoices using the finance system (Xero).
- Preparing and scheduling monthly staff payroll figures, tracking installation team hours for accrued lieu hours.
Requirements and skills for the role of Assistant to Director are as follows:
- Proven experience in a similar role, ideally within a small business.
- Basic book-keeping and payroll experience.
- Ability to manage multiple projects and tasks simultaneously.
- Sound knowledge of Google Workspace and Microsoft Office.
- Exceptional time, organisational, and project management skills.
- Excellent written and oral communication skills.
- Highly motivated, confident, and resourceful with commercial aptitude.
- Adaptable and resilient in a fast-paced environment.
- Assertive, organised, methodical, efficient, and able to work on own initiative.
