Part -Time Receptionists x 2Temporary to Permanent positionsMaple Cross,WD3 9YSGBP13.82 per hour.Monday - WednesdayWorking hours available are 8am - 4pm or 10am- 6pmOur prestigious client located at Maple Cross,Rickmansworth, are looking to recruit Receptionists to represent the business with a positive and professional attitude. We are looking for individuals to work within the organisation to help it run smoothly. You will greet visitors, answer phone calls, and execute various tasks all whilst maintaining a professional composure throughout interactions with customers and staff members alike. Greeting visitors to the office warmly and offering them immediate assistance.Reception Duties
- Greet and welcome guests as soon on arrival
- Ensure an effective and efficient reception service is provided to all external visitors and internal colleagues.
- Answering the main switchboard in a professional manner and ensure all incoming calls are diverted through to the relevant internal employees.
- Sign in all external visitors' movements on site and greet in an appropriate professional manner.
- Direct visitors to the appropriate person and office.
- Answer, screen, and forward incoming phone calls
- Ensure the reception area is clean, tidy and presentable at all times.
- Provide basic and accurate information in-person and via phone / email and / or Microsoft TEAMS.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges and main access barrier to site).
- Perform other clerical receptionist duties such as housekeeping, photocopying, scanning etc.
- Maintain the Helpdesk job logging and job closure duties in line with Helpdesk system process and procedures policy.
- Collaborate with colleagues at all levels (Technicians, Management) to ensure they are aware of contractor visits, job closures.
- Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt and appropriate delivery is followed through.
- Ensure all administrative tasks, including franking and accepting mail and emails are appropriately handled and completed.
- Directing couriers and maintenance personnel to the correct department.
- Ensuring that staff contact details are up to date.
- Managing the appointment diary.
- Using Microsoft applications on a daily basis.
- Arranging meetings and booking meeting rooms.
Receptionist Requirements:
- Excellent attention to detail
- Effective telephone communication
- Demonstrate a high level of interpersonal skills
- Effective time management and prioritisation skills
- Excellent administration skills
- Good IT skills, including experience with Microsoft PowerPoint, Excel, Word and Team chat applications.
