People Administrator
The People Administrator role is busy and satisfying. As a key member of the People Team, your ability to build relationships across each function, and provide administrative support that enables the effective delivery of all aspects of the people plan will be crucial to our success in enabling the firm to deliver its broader strategic objectives.
Key responsibilities
Every week, you’ll be working in collaboration with the People Team and connecting directly with our colleagues in each of our locations, providing generalist administrative day to day support.
You’ll have the opportunity to develop and own specific projects linked to improving our HR operational effectiveness and you’ll support the administration of the broader implementation of the strategic People Projects and change management activities.
You’ll be leading and delivering on the administration of all people activities:
- Recruitment – Establish and maintain all the HR administration processes and resources required for graduate, intern, work placements, qualified and senior recruitment, and onboarding.
- Induction and Onboarding – Own and oversee the administration of the onboarding and induction process for all new employees as well as working with the People and Culture Lead to organise our central induction events once per quarter.
- Learning and Development – Support the delivery of the Learning and Development strategy by completing all administrative tasks linked to the delivery of inductions and the completion of all statutory and mandatory learning and training in line with regulations and compliance.
- Talent Management – Collate and provide information from the annual performance and development reviews and work with the People and Culture Lead to provide insights team that will inform our development and talent plans going forward.
- Employee engagement – Under the direction of the Head of People & Culture coordinate and help administer our employee engagement and communications activities linked to the People Intranet, Employee Voice, Engagement Surveys, Recognition Initiatives and Change Management processes.
- Change management – Work closely with the team to prepare documents and support the administration of all operational change proposals and consultation processes including acquisitions.
- First response – Act as the first point of contact and work in partnership with each of the functions and offices in relation to answering non-complex HR and people queries; signposting complex questions on to the People and Culture Lead or the Head of People and Culture.
- HR Operational Excellence – Maintain best practice administration procedures.
- Communications – Monitor and manage the HR and Recruitment email inboxes, directing complex questions as above to the People and Culture Lead on a timely basis.
- Payroll administration – Work with the People and Culture Lead to sign off the necessary information required by our payroll function, resolving all pay queries as a matter of urgency.
- Policies and Procedures – Work with the People and Culture Lead on the administrative aspects of maintaining all employment policies and procedures and information held on our SharePoint site.
- Compliance – Administer all aspects of General Data Protection Rules and ensure we are fully compliant with all data and hold all required information securely.
About you
- This is a junior to mid-level role; ideally, you’ll have a qualification specific to HR of Business Administration; however, it’s important that you can demonstrate a successful track record that matches the requirements of the role set out above.
- You’ll be an excellent problem solver, who anticipates and proactively mitigates issues. You’re always one step ahead.
- You are positive and confident in your abilities, but you’re also a kind, empathetic person with excellent communication and interpersonal skills.
- You’ll be supporting cross functional teams, in charge of all HR and People Administration activities; therefore, your ability to build positive working relationships with all team members in a conscientious and inclusive way will be beneficial.
- You are computer literate with knowledge and experience of ideally practice management systems – however, training will be provided, and HR software systems as well as the usual MS Office applications.
- You’ll demonstrate good attention to detail and the ability to effectively analyse and report on outcomes and issues.
- You understand how to organise and maintain a work planning system that keeps you on track to deliver the expected administration outcomes of several projects at once.
- You’ll have a good awareness of employment law and maintain up to date knowledge of legislative change; making sure that you share this knowledge with your colleagues.
