The Opportunity…
We are recruiting for a Personal Assistant (PA) to provide full secretarial and administrative support to the Head of Function of Fleet Fuel Route and Spent Fuel Operations. This also involves providing support to the Function's management team members, and general administrative support to all team members.

What you'll be doing…
The primary responsibility of the Personal Assistant is to successfully provide accurate and reliable PA and administration support service to the Head of Function of Fleet Fuel Route and Spent Fuel Operations and to the management team members.
Responsibilities include:
- Handle a wide range of high-level administrative tasks for the Head of Function.
- Manage the Head of Functions diary and plan ahead in order to anticipate busy periods and changing priorities.
- Act as the point of contact for the function - routing enquiries and actions to appropriate team members.
- Prepare and handle key organizational documents maintaining strict confidentiality.
- Arrange business travel, accommodation, and coordinate meeting arrangements.
- Management of specific requests/actions for the Head of Function, in a prioritised way, through to close out within deadlines.
- Maintain system of key deliverables for the HoF and remind/prioritise/coordinate resolution to deadlines.
- Handle new starter processing arrangements (IT, induction…)
- Manage purchases on a company credit card
- Receive, screen and direct incoming calls, visitors, mail and email.
- Ensure accurate and efficient document management and classification in line with ND procedures.
- Work with other departmental administrators (inside and outside the function) positively to allocate work-load and coordinate duties
Who you are…
- Good organisational skills (flexible/organised/methodical) with a keen attention to detail
- Ability to work independently and be proactive.
- Excellent communication/interpersonal skills notably with various levels of the organisation and externally.
- The ability to work as an integral part of a team contributing to team success, communications and a positive working environment.
- Able to manage conflicting priorities.
- Previous team support experience.
- General administrative/secretarial knowledge producing professional work as well as ability to adapt to new and changing systems.
- Use of Outlook or similar diary/email application; Microsoft Office - Word, Excel, Power Point
