Job description

The Institute of Psychiatry, Psychology & Neuroscience’s Education Support Team is looking for a Programme Officer to offer high-quality administrative support to within the EST Postgraduate Research (PGR) team. The role holder will provide high quality administrative support for the Postgraduate Research (PGR) team and the research programmes (MPhil/PhD and MD(Res)) in the Faculty. The role supports all key stakeholders throughout the PGR student lifecycle from enrolment through to graduation and beyond.

Providing essential support to PGR students and academics within this school, the role holder will work as a member of the wider programme administration team to ensure consistent management and delivery of the PGR provision through providing high quality administrative support. The Programme Officer provides a professional, supportive, responsive and personable service supporting processes across the PGR lifecycle, ensuring accurate and timely record management across multiple systems.

As the first point of contact for PGR students and academic staff in the Faculty, the role holder is actively involved in activities such as studentship advertising, Research Passport and DBS application processing. The role holder is also responsible for accurate student records keeping across multiple systems and for drafting communications for staff and students (including the PGR newsletter) as well as ensuring that information on the Faculty PGR information sites is up to date. Additionally, the role holder organises events such as the induction for new students.

King’s College London operates a hybrid working policy and the post holder will be required to be on campus in Denmark Hill a minimum of 2 days a week.

About the Education Support Team

The Education Support Team provides a comprehensive and professional support service for students and academic staff in the Institute of Psychiatry, Psychology & Neuroscience working in a complementary capacity with relevant departments throughout King's College London.

This post will be offered on an indefinite contract.

This is a full-time post.

Key responsibilities

    Support student lifecycle processes from pre-enrolment activities, through induction and registration to graduation and beyond, utilising systems and databases e.g. Student Records system and SITS accordingly, and in accordance with best practice, ensuring consistency of data and identifying and resolving issues

    Support PGR student progress monitoring processes in line with the Faculty deadlines and academic regulations

    Take responsibility for resolving students and academics’ enquiries, including face-to-face and via email, responding within agreed timeframes and escalating complex enquiries as appropriate

    Assist in ensuring that quality assurance requirements are met for the PGR Programmes. Support student feedback and evaluation processes in line with current university best practice

    Service committees as directed by your line manager

    Support all Postgraduate Research activity, working with the academic and administrative teams to identify and deliver improvements to student experience and support

    Ensure that the information sites (webpage, KEATS, share point) are kept up to date and address any issues

    Work flexibly as part of a team, supporting others in times of high volume activity

    Take responsibility for own performance and development, through agreeing clear performance objectives, maintaining up-to-date knowledge and reflecting on own performance

    Take personal accountability for the data quality of student records, ensuring records are accurately maintained in accordance with the agreed retention schedules

    Ensure all work is carried out in a professional and timely manner, with appropriate confidentiality and sensitivity. Maintain an up to date knowledge of the data protection requirements and to support Freedom of information and subject access request

Skills, knowledge, and experience

Essential criteria

1. Degree level or equivalent qualification or experience

2. Excellent written and oral communication skills including the ability to draft documents and correspondence

3. Prior experience of working in an office environment

4. Excellent organisational and time management skills and ability to work to tight deadlines

5. Excellent working knowledge of Microsoft Office packages and the ability to work on new systems

6. Methodical, detail oriented and flexible approach to work, maintaining a high level of accuracy

7. Ability to work with a broad range of stakeholders in a professional and assured manner

8. Proactive with the ability to work independently as well as delivering within a team

9. Curious, customer service oriented, with a commitment to personal accountability and continuous improvement

10. Comfortable with adapting to change, driving own professional development

Desirable criteria

1. Experience in the use of databases, student records systems (such as SITS) and website content management systems

2. Prior experience of working in Higher Education in a student facing environment

3. Prior event organisation experience
