Project Administrator Job Description
You will be a capable, proactive person with the ability to provide administrative support to all aspects of programme mobilisation, including calls for applications, selection / assessment of proposals, and funding awards. You will coordinate the process from end-to-end, facilitating clear communication and effective collaboration across the project team and key external stakeholders.
The key purpose of the role is to help the team make rapid progress together, and to enable everyone to stay abreast of this complex, fast-moving project. You will bring a proactive, hands-on approach, supporting multiple internal customers and strands of activity while working to tight deadlines.

Key responsibilities of the Project Administrator
- Support publication of calls for expressions of interest and proposals, coordinate communication with bidding organisations and referees
- Support project team with assessment of expressions of interest and proposals, including support for assessment meetings and maintaining consistent records of applications and assessments
- Coordinate regular project team meetings and record key actions / decisions
- Coordinate meetings of project Advisory Group and other key external meetings
- Support launch announcement and other external project communications as required
- Liaise with the grant management provider, on due diligence checks and grant agreement / payment administration for successful bidder(s)
- Maintain list of tasks, deliverables and deadlines on Asana, the project management system
- Administrative support to the team as required
- Strang administration skills and experience and ideally within project coordination
- Experience of note/minute taking would be desirable
- Familiar with project management tools ideally Asana desirable
- Excellent coordination skills
- Good Microsoft Office skills
- Ability to multitask
