Care Agency Media is part of a collaborative group of companies (300 Media, Care Agency Media and NXT Digital) that spans the health and social care, digital and design sectors. Care Agency Media helps clients start their businesses. We provide clients with the tools and training for a successful company launch. Then, while they should implement these, we don't fall off the radar; we have a business support team at hand, but it is the client's business, so they should take ownership of it and the materials we provide.
If successful, you will join the business setup (projects) team and assist our clients, leading them along the steps of our packages. Our clients are typically health and social care professionals who come to us for technical and business acumen and solutions. From business name generation through designs, policies and procedures right down to business workshops, our packages provide the essentials to ease our clients into the world of business.
What we do is not the same as project management. So, if you are looking for project management roles, we do not wish to misinform you. This position is internally referred to as a Project Lead or Business Setup Lead because the role mixes admin, project and most prominently customer service tasks. The essential part of the job is you being the first point of contact for our clients and leading them in their activities. For this reason, the role is closer to advising and consulting than it is to project management and setting new timelines, budgets, etc. We spend a lot of our times on the phone, responding to emails or system messages, etc.
If successful, some of your tasks will be:
- to welcome the client on a video call and explain how we help them,
- to send information or guides to clients,
- paraphrase said information and guides, answer questions about them,
- edit standard messages and templates to tailor them to clients' preferences,
- gather client replies, verify and advise based on them,
- pass these to the relevant teams,
- or do something with them yourself (edit documents, trigger the next set of tasks, etc.),
- pre-filling applications and documents, then sending them to clients for a final review/submission.
All new staff are referred to as Junior Project Lead during probation, which is 6 months and then as Project Lead ever since. Probation is 6 months so that you have more time to go through all the stages of our business setup processes. Our salaries are reviewed at probation and then annually on the anniversary of your employment.
The individual tasks of the job aren't difficult, but it takes a while to learn or familiarise yourself with the stages of the project. This is an office-based role, but we allow staff to work from home up to 2 days a week after some time. Initially, staff work full-time in the office until both sides are happy with what it is that we do and in what way. Then, staff work in a hybrid arrangement - 3 days in the office and 2 at home.

Ideally, we're looking for someone who wants to grow with a company and in the role. In the future, we want you to know more about us, our products and clients, move to senior roles, handle more work or more difficult clients, or shift to a consulting/advising role, running online workshops to help clients digest our guides and manuals. You will receive all the necessary on and off-the-job training in the form of coaching sessions, guides, shadowing, and more. Apart from some of the tasks listed above, the role will include:
- managing tasks and deadlines,
- taking in project calls, emails, and other messages from current clients,
- using project management, CRM, and custom software,
- communication with clients, internal and external teams,
- implementing plans and instructions to given deadlines,
- various administrative duties,
- providing quality service standards to all customers.
