Position:
We are looking for an enthusiastic addition to our team who is willing to learn and grow with the role. Working with the current Q.S.H.E Manager and Q.S.H.E Coordinator you will support with the implementation of a new management system and day to day compliance of Quality, Environmental, Safety, and Facilities administration to ISO standards. Experience with ISO standards or Facilities Management is not required however a willingness to learn these exciting fields is essential.
Requirements:
Responsibilities:
Ø Support the QSHE department manager and coordinator in all administration tasks related to ISO standards held by the business. Including health & safety, environment, business continuity, quality and facilities ISO standards.
Ø Support for ISO audits and self-auditing processes.
Ø Other departmental administration as required including data entry, template updating and creation as well as completion of supplier questionnaires. Creation of minutes and reports for QHSE meetings, monitoring of action points and KPI targets across all sites.
Ø Work with Facilities Engineers, Transport team, internal installations coordinator and site managers to ensure that site assets are identified and documented on the dedicated system to create a PPM schedule for each site, and ensure assets are maintained according to statutory and regulatory requirements.
Ø Liaise with various FM Providers and contractors including internal engineers to ensure that all Pre-planned Maintenance is completed in time, all site defects are repaired, and reactive maintenance is completed.
Ø Collating data from all departments to ensure ongoing compliance checks are met.
Ø Contractor control – including R.A.M.S reviews, contractor inductions and monitoring work standards accordingly.
Ø Maintain and protect confidential information (GDPR)
Key Skills:
- Excellent attention to detail is essential.
- Strong administration skills with experience of excel (including data driven graphs and charts)
- Ability to act professionally and discreetly
- Excellent interpersonal skills/good communicator with a professional telephone manner
- Flexible: able to work under pressure and handle multiple projects.
- Ability to analyse data and draw meaningful conclusions.
- Able to work with minimum supervision and be able to organise daily work priorities whilst multitasking.
- Must be able to work effectively as part of a team and build good working relationships with both internal and external stakeholders
- Driving licence preferred as may require travel to other depots but not essential.
Other information:
Salary: £22,308 per annum
Hours: 37.5 hours Monday to Friday between the hours of 06:00-17:00
