Job description

We are an award-winning company and one of Europe's leading designers and manufactures within the engineering sector. We employ over 220 staff in the UK and Overseas and due to growth are seeking a Receptionist and Administrator to join our organisation based In Frimley, Surrey. You will report into and support our Health and Safety and Facilities Manager and work alongside a part time receptionist covering administrative and reception tasks, with the role being split 60% reception and 40% administration.

The role would suit candidates with some reception experience or simply very good customer service skills with good administration ability too. You may be working in a reception role in another sector such as leisure, retail or hospitality and be seeking an office-based role or you may be looking to return to work after a break or you may have general customer service and admin skills and be keen to secure a reception role, as we can provide full training. This is a busy role which will offer chance to grow and develop.

Working Monday to Friday 8am – 4pm with a 2pm finish on Fridays, we offer a salary of up to £25k plus annual bonus scheme, with a full comprehensive benefits package that includes free parking, enhanced pension, bonus, gym discount, retail discounts, cycle to work scheme, eye care policy and 24 days holiday along with a company profit share bonus scheme too.

This is an exciting opportunity for candidates seeking a varied reception and administration role supporting many departments such as design, projects, quality, and goods in along with our clients and suppliers.

Reporting into the HSE & Facilities Manager, your key duties will be:

Reception:

  • Visitors - greet & welcome, maintenance of the visitor monitoring system, distribution of PPE and informing the relevant member of staff of their arrival
  • Contractors - Issue work permits, provision of a verbal induction & Supporting documents and communication of PPE requirements
  • Operate the Company switchboard - receiving & qualifying telephone calls, announcing & connecting callers, taking brief messages and passing these on, directing voicemail messages, maintaining, reporting telephone equipment and line faults to the IT department
  • Company Post - sort all incoming & frank all outgoing mail on time, ensure the franking machine is charged and maintained
  • Office Services & Support:
  • Book meeting rooms and maintain the meeting room diary plus support catering requirements for internal meetings including the order & collection of food
  • Book travel when requested for visitors
  • Order and monitor the stationery, toner levels, cleaning materials for external contract cleaners, coffee, tea, and sugar for the business
  • Supporting the management of the annual uniform issue

Administration of Company Documents

  • Scanning of transactional documents for electronic storage plus maintenance of Company Documentation
  • HS&E Documentation, Formal Inspection document renaming & general admin support, material Documentation to ensure regulatory compliance
  • Involvement in organising events, including Charity events as a Charity Committee Member and the annual Christmas Party

To be successful for the Reception and Support Administration role you will have some previous reception, customer service and/or administration experience within an office, retail or hospitality environment and have a good knowledge of Microsoft programs. You should have an excellent phone manner and be confident dealing with colleagues, clients and suppliers via phone and in person as we have visitors to the site. You will be happy to work alone and ne motivated to meet deadlines.
