Job Description
As a receptionist, you know first impressions matter. You'll be joining a brand-new mental health service, Oaktree Manor, which is opening early 2024, where you will be a friendly face with a welcoming personality as you greet staff, visitors and service users.
Working 37.5 hours a week you will work alongside the reception team, you will be responsible for the telephone switchboards, as you support and direct callers to the correct department.
You will manage and allocate keys and security ID badges to staff and visitors and will monitor and maintain security checks. You will be responsible for managing the management diary, ordering stationary, refreshments, and toiletry supplies, and will ensure the reception rota is appropriately staffed.
Your responsibilities:
- Greet and assist all arrivals promptly at Oak Tree Manor, and ensure that they are treated in a courteous, pleasant and efficient manner, and directed accordingly.
- Ensure that all telephone calls into main reception/switchboard are dealt with promptly and efficiently within Elysium operational standards.
- Carry out administrative tasks as required.
- Ensure the appropriate security passes are issued, as well as then directing the visitor to the appropriate areas or individuals within the unit.
- Compile end of shift reports to ensure all security passes and any other relevant items have been returned as issued.
- Ensure the maintenance of the reception and waiting area environments to high standards, ensuring that any housekeeping or maintenance issues are reported to the appropriate teams.
- Undertake Security Radio call outs to ensure radios are in full working order and staff are responding in an appropriate and timely manner.
- To ensure swipe passes and lanyards are managed effectively, accounting for all issued and returned at the start and end of a shift.
- To take staff members food orders and share these with the catering department.
To be successful in this role, you'll need:
- Confidently able to use a computer and Microsoft Office
- Good communication skills
- Ability to work flexibly
- Display awareness of understanding confidentiality and security.
- Common sense approach to problem solving.
