We are seeking someone who is able to work mornings 0800-1300 Monday - Friday and who has an excellent phone manner and great face to face people skills. Part Time Receptionist / Administrator
Part time permanent role - office based
Mon-Fri 0800-1300
Role based close to Burgess Hill. There is plenty of free parking available on site. Due to semi rural and beautiful workplace location, it is essential to be a driver and have your own transport.
Salary £18959 per annum plus very good company benefits. This is what you'd earn for part time 25 hours per week. This is the equivalent of £14.58 per hour.
This is an excellent opportunity to work locally in a part time capacity.
The role:
To provide an effective, efficient and welcoming reception and administration service
Duties will include:
To provide efficient and timely answering of incoming calls. Taking messages when necessary and communicating via email
Greeting and welcoming of visitors
Manage the electronic entry gate system
Take receipt of deliveries and organise distribution
Maintain the office email in-boxes forwarding or actioning emails as appropriate
Manage enquiries either on the telephone or in person and direct to the appropriate member of staff
Maintain the calendars across the school, ensuring all visitors, events, and any staff/student absences are all accurately recorded in the office calendar
Maintain accurate internal phone system, updating names / numbers as necessary
Create and maintain accurate student and staff lists, transport contact lists, student contacts details & tutor groups.
Assist with all internal and external communications .
Send out weekly updates to parents and governors
Process approved invoices to Finance and logging/reconciling monthly credit card statement.
Maintain and order any required stationery and supplies
Provide cover for the other receptionist in the event of holiday, sickness, or unplanned absence
Issue to new staff, including agency staff, any necessary HR documentation pack and information.
Any other duties as reasonably requested including dealing with general enquiries either on the phone or in person.
Experience, competencies and knowledge required:
Very good general administration skills
Excellent communication skills
Strong organisation and prioritisation skills
Ability to deal with inbound phone calls and to deal in a friendly and welcoming manner to visitors
