As the Research Operations Administrator for the planned research center for GE Vernova, you will coordinate all operational and administrative activities for the Research Director, Government Operations Director, and Functional Leadership team. In addition to providing operational and administrative support for multiple leaders, you will also routinely coordinate multiple priorities, handle tight deadlines, and address last minute requests and
Revisions, all while demonstrating strong independent decision making and autonomy in support of the organization. You will be expected to exhibit a highly professional image internally and externally and rely on experience and judgment to plan and accomplish goals.
GE Vernova’s Advanced Research business is the central innovation engine for GE’s portfolio of energy businesses, which will be unified under one banner called GE Vernova. The research organization is made up of 250+ researchers representing virtually every major scientific and engineering discipline. Collectively, they are driving major research programs and initiatives to decarbonize power, accelerate renewables, and promote electrification and the creation of a 21st century grid fit to power a zero-carbon energy future.

As the Research Operations Administrator, you will:

  • Demonstrate strong independent decision making and autonomy in support of your applicable leaders and their organizations;

  • Act with discretion while performing a wide variety of operational and administrative activities that require handling of confidential information and business critical assignments in a professional business manner;

  • Interact with senior management on behalf of GE Vernova Research leadership, on site and in person at all levels across the business unit and directly with the CEO and business unit offices of GE Vernova;

  • Act as the lead operational and administrative support staff for the Research Director during the transition of the planned research center for GE Vernova into the Vernova business unit;

  • Lead and prepare presentation materials such as executive internal and external presentations, strategy sessions, board presentations, promotional material etc., utilizing expertise in Microsoft PowerPoint, Word, Excel and other media;

  • Set-up and organize meetings (including MS Teams and in-person) on behalf of the Research Director and when appropriate the wider organization, producing agendas, briefing participants and distributing paperwork as necessary over multiple time zones;

  • Participate in Strategy Schedule / Session T planning, data compilation for bowler charts, finance, budgeting, and quality-related tasks, including the compilation of data, creation of dashboards/scorecards, and implementation of new initiatives;

  • Own PO reconciliation, non-research technology group eTIM, EHS, lab audits, Gensuite, and ergonomic evaluations;

  • Coordinate arrangements for major meetings for the Research Director and partner with the Missions Operations Administrator on research-wide conferences to ensure that all events proceed according to plan;

  • Own candidate and new hire processes for the non-research technology teams (Missions, Functions) including: Interview scheduling, Onboarding coordination, Office readiness, Computer and other asset requests, New Employee Orientation, Interns/Co-Ops/Leadership Programs

  • Coordinate complex travel arrangements and process all expense reports for the Research and Government Operations Directors;

  • Manage calendars and make all associated arrangements to ensure the smooth running of schedules of the Research and Government Operations Directors;

  • Prepare correspondence, invoices, distribution lists and other documents as requested; maintaining files, both electronic and hard copy;

  • Work in partnership with the Human Resources and Communications Leaders on organization charts and accurate maintenance of distribution lists and other forms of communication.

Qualifications/Requirements:

  • High School Diploma or GED with a minimum of10 years of experience functioning as an Administrative Assistant

  • Experience supporting company officers, senior leader, or equivalent

  • Excellent collaboration, influence, written and verbal communication skills

  • Ability to act on behalf of the Research Director with all levels of the organization

  • Demonstrated expert level of proficiency in the suite of Microsoft software packages (Word, Excel, PowerPoint, and Outlook) and web collaboration tools

  • Continuous learner: Assist applicable leaders in navigating the environment through learning new software applications and understanding how the Vernova Research ecosystem works

  • Proven organizational and project management capability through effectively handling prioritizing multiple tasks, anticipating what’s next and problem solving

  • In-depth knowledge of large company corporate policies and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures

  • Demonstrated ability to work well in a global team environment, must be flexible and adaptable to extend work hours as needed

  • Responsible for driving standard work and maintaining professional and positive behavior during times of change

  • Must be willing to work full-time Tuesday, Wednesday, Thursday on-site in Niskayuna, NY – and on-site on a full work week basis as necessary

The salaryrange for this position is $1245.00 - $1,850.00USD, weekly. The specific salaryoffered to a candidate may be influenced by a variety of factors including the candidate’s experience, their education, and the work location.
