Kempston-Parkes Chartered Surveyors are excited to offer a new vacancy for a Sale Administration Assistant to join our growing and expanding team!

We are a proud Harrogate born business that specialises in Residential, Commercial and Professional Surveying practices throughout Harrogate and surrounding areas. We are members of the Royal Institution of Chartered Surveyors (RICS) with over 110 years of collective experience within the firm.

The future team member will require to have previous experience in administration and sales management or customer relations from initial point of contact to instruction (or similar). Previous knowledge regarding building and construction is not essential as we will provide appropriate training, however, a willingness to learn is required and welcomed.

The post holder will drive sales through good customer service and communication with a focus on contacting potential clients submitted by referrals and website enquiries in order to generate business efficiently alongside providing administration support to the company.

You will work closely within the administration team to ensure the smooth running of the office from the initial client contact, quoting, report typing and diary management for the surveyors.

The key responsibilities include:

· Manage incoming sales leads, referrals and new business opportunities from trusted partners – which includes engaging with the client to quote and advise on the surveying services the business provides. This does not involve cold calling and is a role for the right candidate who is organised and passionate about what we do.

· Entry and maintain database system with client confidential data.

· Complete lead tracking systems – ensuring the company are aware where business is coming from and the status/outcome of all quotes where possible.

· Proactively follow up quotations within a timely and structured manner.

· Dealing with multiple enquiries at a time and general administrative multitasking.

· Ensure positive relationships with trusted partners, clients and colleagues.

· Assist in the efficient working of all directors and be flexible to their dynamic needs.

· General administrative tasks included but not limited to such as answering calls, emails, diary management, updating finance spreadsheets, report typing and office organisational duties.

Work Experience, Education & Personal Requirements

Essential:

  • Previous experience in sales or business development
  • Previous experience in administration.
  • Strong IT and typing skills and knowledge of Microsoft packages
  • Able to complete tasks and implement process improvements
  • Excellent planning, organisational and time management skills
  • Excellent verbal, written communication, and presentation skills
  • Professional approach
  • Reliability
  • Ability to work on own initiative
  • Strong ability and understanding of importance of meeting deadlines
  • A desire to learn and grow with the role as business needs change
  • Ability to work co-operatively with others
  • Ability to be flexible in their working style.

Desirable:

  • Further formal education in customer service, sales or administration
  • A proven record of lead management or sales conversion
  • Strong interpersonal skills
  • Experience in working with multi-level employees
  • Experience in working to tight deadlines
  • Experience in tracking sales leads and referral avenues.
  • Previous experience in typing from dictation.
  • A knowledge of RICS products and services.
