Sales and Events Executive

THE COMPANY:

THE ROLE:
Purpose: To act as a first point of contact for all events enquiries, to plan and co-ordinate both internal and external meetings and Events at venue, to assist in promoting the venue, help to establish and nurture relationships with key accounts, events diary management and database maintenance, to support the Head of Events in all other events related activities as required
Reporting to: Head of Events and Catering Hours: 40 hours per week (or as dictated by the level of business whichever is higher) Will be required to work some evenings and occasional weekends as required.
MAIN RESPONSIBILITIES: Sales and Event Administration
• Deal with the booking of internal meeting space for Company meetings, and some Company events
• Deal with all new and repeat sales enquiries courteously and professionally
• Handle all bookings efficiently ensuring consistent attention to detail and high level of service
• Arrange and conduct client meetings, site inspections and menu tastings
• Send contracts and ensure deposits are received for all confirmed bookings as per the company’s payment terms
• Chase final invoices and ensure all debts are settled following the event and as per the company’s payment terms
• Record and follow up all provisional bookings, maintaining liaison with clients
• Ensure efficient diary management and maintain events database
• Enter events details accurately and create event sheets to include details on venue logistics, room setups, catering and additional requirements provided by third party suppliers
• Prepare and distribute weekly event orders on behalf of the team to the Company for the week ahead
• Build client relationship through consistency and attention to detail, establishing a loyal client base
THE PERSON: The successful candidatewould ideally have at least a one year to 18 months experience in event sales/planning, with good communication skills. you need to be able to work calmly and courteously and be customer focused. Also be willing to help out as it is a small team.
