Sales & Letttings Administrator
£29,000 - £32,000 per annum
West London (office based)
Monday - Friday 9am - 5:30pm
A great opportunity to join an excellent team at a busy property company based in West London.
This is not your standard "admin" role. You will be a key member of this dynamic sales team, assisting in a variety of office tasks - ensuring the smooth running of the office, assisting with property management and the occasional PA duties to the Owner.
The ideal candidate is enthusiastic, proactive, extremely organised and highly reliable. You should be a "roll your sleeves up" person with a "can do" personality.
We’d expect the candidate to be highly personable and friendly, with regular experience with the Microsoft Office suite, specifically Excel. Adobe Creative Suite experience is advantageous but not a requirement.
Responsibilities (but not limited to)
- Greeting & tending to visitors
- Diary management for the team & scheduling appointments
- Booking and arranging property schedules and inspections
- Document formatting, drafting correspondence, preparing presentations, checking reports, PDF stitching, typing of some dictation, sending large documents.
- Fielding all inbound calls and handling all enquires
- Processing invoices and expenses
- Project support and reviewing timelines
- Office organisation, ordering stationery & ensuring the kitchen is well stocked.
- Updating databases and ensuring property and office compliance
- Processing tenancy applications
- Assisting in the reference, credit check and right to rent checks
- Drawing up tenancy agreements and paperwork
- Review of all tenancy documentation prior to providing to credit control, i.e. tenancy contracts, new leaver and starter forms, renewal forms
- Maintain all schedules and New let/vacate exel sheet / uploads
- Maintain all tenant records, passport, ids, etc and maintain a checklist of the same to ensure that all rights to rent etc are accurate and sufficient support is on file to assist credit control
- Assisting with marketing material preparation, pitch document creation and reports
- Planning and running corporate events
- Processing invoices and debt management
- Conducting research as directed
Skills Required:
- Property/real estate experience is required
- Previous office management or administration experience required
- Proficiency in Microsoft Office suite, InDesign.
- Property on boarding programmes, such as Horizon/Qube desired
- Strong communication skills
- Strong ability to multitask
- Friendly, positive, flexible and upbeat demeanour
