We are seeking a highly organised and experienced individual to fill the role of Secretary to the Property Director. As a key member of our team, you will play a vital role in supporting the Property Director in various administrative and operational tasks.
Responsibilities:
- Proactively monitor and manage the Property Director's inbox, bringing urgent emails to their attention promptly.
- Arrange and coordinate meetings, including preparing documents and materials as required.
- Take dictation and accurately transcribe documents quickly.
- Answer incoming calls, direct calls appropriately, and take clear, concise messages.
- Work alongside the Property Director on racing events,
- Liaise with racecourses nationwide to arrange tickets, box facilities, and catering.
- Liaise with the maintenance team, advising them of any maintenance issues.
- Update the maintenance log schedule on a weekly basis.
- Report IT issues to the helpdesk for prompt resolution.
- Order office stationery and ensure sufficient supplies are maintained.
- Monitor team holidays and absences, assisting in coordinating coverage as needed.
Qualifications:
- Proven experience as a Secretary or in a similar administrative role.
- Strong organisational and time-management skills.
- Excellent communication skills, both written and verbal.
- High level of discretion, tact, and professionalism.
- Ability to stay calm under pressure and manage competing priorities effectively.
