To provide an efficient and highly organised support service, ensuring the smooth running of all aspects of the role. You will have strong MS Office to include PowerPoint and Word.
Primary duties and responsibilities of the Secretary/Administrator
• Organise meetings, attend meetings, take notes, and prepare action logs
• Own any actions arising and progress other actions ahead of next BDF
• Regularly update and circulate future important dates , as necessary
• Maintain the Knowledge Hub on the intranet in line with requirements
Seminars/Webinars
- Organise, attend, and issue invitations as required for seminars and webinars
• Ensure presentations are proof-read, formatted to company standard and ready on the day
• Update social media as required
Tenders, Proposals and Presentations (20% of the role)
• Detailed proof-read and format all presentations and proposal documents
• Input creatively into development of future templates and presentation layouts.
Corporate Events
- Organise and plan for all corporate hospitality events
Other Responsibilities:
• Work as part of the wider support team sharing some general administrative duties e.g.
phone, diary management, incoming and outgoing post, travel, and hotel arrangements etc.
• Maintain an accurate and full record of any time spent on client activity
• Provide project management support regarding diary and meeting management as required
Person Spec:
• Ideally the successful candidate will have 3 years or more experience of working as an
administrative assistant, PA, or similar role
• Discretion and confidentiality - fully understand and adhere to these two essential attributes at all times
• Self-motivation - take an enthusiastic approach to the role and be able to work under own initiative without need for close supervision
• Highly proficient with IT must be experienced with Word, PowerPoint, and Excel
