We are seeking a dedicated and organised individual to provide operational and administrative support to the Faculty senior leadership team, within a Higher Education establishment. This includes support to the Faculty Business Manager, Dean of Faculty, Heads of School, and the Director of Academic Strategy & Resourcing.Key Responsibilities:
- Provide comprehensive support to the Faculty senior leadership team, including effective diary management and scheduling of Faculty business.
- Service Faculty Boards and other relevant committees, including scheduling, agenda setting, collation and distribution of papers, minute taking, and action tracking.
- Manage temporary and occasional faculty staffing arrangements, such as visiting lecturers and link tutors, and record and monitor academic claims in line with agreed processes.
- Be responsible for the maintenance of key information systems.
- Manage and triage the email inboxes for the Dean of Faculty and Director of Academic Strategy & Resourcing.
- Provide general operational support as required, including collation of information and data for reports, task completion tracking, and file maintenance.
- Contribute to the drafting of faculty papers, reports, and presentations, and support faculty-specific projects as directed by the Faculty Business Manager.
- Support budget monitoring through the accurate and timely processing of requisitions, purchase orders, and invoices.
- Provide support to all aspects of the Faculty Business Office as required and contribute to the review and enhancement of systems and processes.
- Ensure that business process guides are reviewed and maintained for all routine tasks in the Faculty Business Office.
- Provide an efficient and courteous enquiry service to assist students, staff, and external bodies, responding to queries in person, by telephone, or in writing as appropriate
Experience required:
- Proven operational and administrative experience gained in an office environment.
- Experience of complex diary management
- Experience of arranging, accurate notetaking and servicing of meetings
- Proficient in the use of IT systems, including Microsoft Office (Outlook, Word, Excel)
- Excellent organisational and time management skills
