Job description

Reports to: Head of Payroll

Department: Payroll

Location: Chiswick Business Park head office for a minimum of 3 days per week / 2 days WFH

As a Senior Payroll Specialist, you will play a crucial role in ensuring the efficient and accurate processing of two monthly payrolls while driving improvements and automation within the payroll function. Working closely with the Head of Payroll and senior stakeholders, you will manage high-volume monthly payroll processes and provide critical support for various payroll-related tasks and projects.

Key Responsibilities:

  • Collaboration & Change Management:
    • Partner with the Head of Payroll and senior stakeholders to implement automation and drive change within the payroll function.
  • Payroll Processing:
    • Processing of high-volume monthly payrolls, ensuring compliance with legislation, policies, processes, and timelines.
    • Process leavers, calculate holiday payments, PILON, and other termination payments, ensuring accurate tax and NICs application.
  • Absence & Statutory Calculations:
    • Calculate absence payments, including sickness, parental leave, statutory payments, and Alabaster reviews.
    • Manage other payments/deductions, such as auto-enrolment, court orders, and contractual payments, while meeting audit and statutory requirements.
  • Data Management:
    • Update employee personal details, including bank accounts and addresses.
    • Input statutory changes such as P45, starter declarations, P6, P9, and student and postgraduate loans.
    • Maintain current knowledge of payroll legislation and internal policies, ensuring accuracy in information, policies, and procedures.
  • Reporting & Compliance:
    • Build and maintain ad-hoc reports and exports using Report Writer/ PowerBI functions within Zellis Resource link.
    • Create, maintain, and run complex payroll journals within payroll software.
    • Support the Head of Payroll with ad-hoc project requests and manual payroll calculations.
    • Manage the payroll inbox, responding to or directing customer queries within agreed SLAs.
    • Use PAYE/NIC knowledge to identify and resolve HMRC errors and communicate resolution processes effectively.
  • Regulatory Responsibilities:
    • Operate RTI procedures and statutory requirements, ensuring timely reporting to HMRC.
    • Reconcile salary, pension, HMRC, and other third-party payments to ensure accurate payments and receipts.
    • Complete auto-enrolment assessments for payrolls and ensure compliance with pensions legislation.
    • Manage End of Year reconciliations and rollover procedures under new tax legislation.
    • Oversee pension scheme management.
    • Ensure data protection compliance on third-party payslip portals and resolve any data breaches.
  • Regulatory Liaison:
    • Manage and complete tri-annual declarations to The Pension Regulator for each company within the Group.
    • Liaise with HMRC to correct misallocated payments on PAYE accounts.

  • Essential skills & experience:
  • Minimum 3 years previous experience within a busy payroll function/ similar role level.
  • IT Literate.
  • Use of Zellis Resource Link software to run payroll end-to-end.
  • Strong communication skills, verbal and written.
  • Ability to establish strong work relationships.
  • Enjoys problem solving.
  • Ability to work collaboratively with colleagues and stakeholders.

  • Strong working knowledge of Pension Auto enrolment legislation.

  • Strong understanding of RTI.
  • Strong Excel skills and comfortable with Pivot Tables, V Lookups and formulae.
