Job Title:Shipping Administrator
Location: Rugby
Reporting To: Key Account Manager
Duration: Fixed term contract from February 2023 for 1 year minimum - Maternity Cover
Salary: 24,000 - 26,000 per annum
Working Hours: 37.5 per week (Mon - Fri, 08:30 - 4:30, 30 mins lunch break
Holiday Entitlement: 28 days (including bank holidays) per annum
Role Purpose:
As an Operations Assistant, you will play a crucial role in the smooth operations of our clients shipping and logistics processes. Your responsibilities include handling worldwide shipments, managing cross-trade consignments, and ensuring compliance with export regulations.
Key Accountabilities:
- Delivering excellent customer service to on-site customers.
- Preparation of shipping/transport quotations.
- Booking dispatches with hauliers/forwarders/despatch depot/shipping lines.
- Generating invoices, packing lists, and other necessary export documentation.
- Entering bookings into our bespoke shipment software.
- Managing specific projects.
- Expediting shipments and resolving queries.
- Processing supplier and customer invoices with attention to detail.
- Answering calls, expediting orders and shipments, handling queries.
- Reporting and escalating issues to the Manager as required.
Person Specification:
Requirements:
- Good educational background.
- Knowledge of shipping methods, logistics, and Incoterms 2020 or other systems.
- Experience in an Operations Assistant role within a freight forwarding environment.
- Intermediate experience with MS Office programs.
- Proven customer service experience.
Desirable
- Experience with all modes of transport, export/import, and customs procedures.
